Center for Life Management (CLM) provides a comprehensive array of outpatient mental healthcare. We offer innovative, evidence-based services that enhance health and well-being for individuals and families. We partner with local and state-wide organizations to build stronger communities and greater awareness for whole health and wellness. The Scheduler plays a pivotal role in coordinating and supporting clinical services to ensure seamless client care. This position involves managing appointments across various services and serving as the primary client resource for scheduling and treatment information. The Scheduler collaborates closely with clinical teams to align scheduling with protocols, maintains accurate records using electronic health systems, resolves scheduling conflicts proactively, and supports administrative operations to enhance efficiency and continuity of care. This is a full-time, 40-hour per week position based out of our Derry Office and is considered non-exempt in accordance with the Fair Labor Standards Act (FLSA). The schedule will be fully in person during the training period and will have the option of some remote work once fully trained and proficient.

Responsibilities

  • Schedule Clinical Appointments: coordinate and schedule appointments for clients across various clinical services, ensuring efficient resource utilization and clinician time.
  • Client Communication: serve as a primary resource for clients, providing appointment reminders, treatment information, and answering questions about scheduling and insurance coverage.
  • Collaboration with Clinical Teams: work closely with clinical staff to ensure timely and accurate scheduling of all treatments and appointments, aligning with clinicians' availability and treatment protocols.
  • Maintain Accurate Records: utilize electronic health record systems to maintain accurate and up-to-date records of scheduling activities, documenting all changes, cancellations, and confirmations.
  • Problem-Solving and Troubleshooting: address scheduling conflicts, cancellations, or issues, and proactively find solutions to minimize disruption to client care and clinic operations.
  • Administrative Support: provide administrative assistance, including outreach to clients for missed or rescheduled appointments and coordination with staff to prioritize scheduling needs.

Physical Demands and Working Conditions

The majority of the work takes place in an office setting. Manual dexterity is needed to use computers and standard office equipment. The ability to sit for extended periods of time is required. Training is completed in office setting. Once fully trained, work will be a mix of office setting and remote work may require reliable internet and phone access.

Qualifications

  • High school diploma or equivalent required.
  • Minimum of 1–2 years of experience in scheduling, administrative, or healthcare coordination roles, preferably in a clinical or behavioral health setting.
  • Familiarity with insurance verification processes and healthcare scheduling systems.
  • Excellent organizational and multitasking skills, with attention to detail.
  • Strong computer skills, including Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Ability to communicate effectively and professionally with clients and clinical staff.
  • Demonstrated ability to prioritize tasks in a fast-paced environment and maintain professionalism under pressure.
