Description
About the role
As an Administration Assistant, you will play an important role in supporting the day-to-day operation of our sites and programs.
You will provide professional reception, administration, data entry and general office support while working closely with program teams to ensure client enquiries are managed accurately, efficiently and respectfully.
This is a varied role where no two days are necessarily the same. Your responsibilities will include:
- Providing welcoming and professional front-of-house and reception services
- Greeting visitors, answering and transferring calls and managing correspondence and mail
- Supporting client enquiries, intake and referrals by providing accurate information and directing clients to the appropriate programs
- Providing administrative, clerical, data entry and reporting support
- Maintaining accurate records, documents and confidential client information
- Supporting fee-for-service processes, including HICAPS, Medicare billing and workers' compensation processes
- Ordering office supplies and maintaining an organised and welcoming reception area
- Supporting community events and activities when required
- Assisting with fleet bookings and other operational tasks
- Supporting site-based WHS requirements, inspections and emergency procedures
- Working collaboratively with teams across Centacare to support quality service delivery
Skills And Experiences
About you (Essential Criteria)
We are looking for someone who is organised, approachable and solution-focused, with the ability to work confidently in a busy environment.
You will ideally have:
- Qualifications or relevant experience β A qualification in Business Administration or relevant experience in administration, reception or a similar client-facing role.
- Communication skills β Strong communication and interpersonal skills, with a professional, friendly and efficient approach to client service.
- Technology skills β Intermediate to advanced Microsoft Office skills and confidence using databases or client management systems.
- Organisation and attention to detail β Strong attention to detail and the ability to manage competing priorities in a busy environment.
- Professional approach β A commitment to providing high-quality administrative support and working collaboratively with clients, colleagues and stakeholders.
