The Receptionist plays a vital role in creating a welcoming and professional environment at the college, serving as the first point of contact for students, staff, and visitors. This role involves managing front desk operations, handling inquiries, and providing administrative support to ensure the smooth running of daily activities. The Receptionist will assist with student services, facilitate communication between departments, and maintain an organised reception area. With a focus on excellent customer service, this position requires strong interpersonal, organisational, and multitasking skills, contributing to a positive and efficient college experience for all stakeholders.

This staff member will provide day-to-day support across all teams at CECOS while continuing their existing responsibilities.

Key Responsibilities
  • Front Desk Operations: Greet and welcome students, staff, visitors, and external stakeholders with a professional and friendly demeanour. Manage the college’s front desk, ensuring a tidy, organised, and welcoming environment. Answer and direct phone calls, emails, and inquiries to the appropriate department. Print daily registers according to timetable and class. Support the attendance compliance lead in sending out warnings as decided at weekly meetings, and support in arranging meetings with students regarding poor attendance and engagement.
  • Administrative Support: Maintain accurate records of visitors and appointments. Assist in organising and scheduling meetings, appointments, and events. Support staff and faculty with administrative tasks such as photocopying, filing, and document preparation. Stationary support for Academics, Student Support and Support departments.
  • Student and Visitor Assistance: Provide guidance and information to students and visitors regarding college facilities, policies, and procedures. Handle student inquiries and direct them to the appropriate resources or departments. Assist with issuing ID cards and processing student documentation.
  • Communication: Act as the first point of contact for general inquiries, both in-person and via phone or email. Liaise with various departments to ensure seamless communication and service delivery.
  • Facilities Coordination: Report maintenance or facility issues to the appropriate department. Monitor the reception area and address any immediate concerns.
Key Skills And Qualifications
  • Proven experience in a receptionist or customer-facing role, preferably in an educational setting.
  • Excellent verbal and written communication skills.
  • Strong organisational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with other office tools.
  • A friendly, approachable attitude with a focus on excellent customer service.
  • Ability to remain calm under pressure and handle inquiries efficiently.
