The following role supports a fast-paced and customer-focused Service Administration team. You will ensure all service-related documentation is completed accurately, efficiently, and in line with our standards.

About the Role

Join our team as a Service Administrator supporting our Wingfield brand. In this fast-paced and customer-focused environment, you’ll ensure all service-related documentation is completed accurately, efficiently, and in line with our standards.

Key Responsibilities

  • Support the Service Manager and Service Supervisor by handling customer calls, asking the right questions to enable accurate and timely responses.
  • Submit all warranty repair orders within 14 days of job completion.
  • Manage the full invoice-processing workflow, including opening and closing service jobs.
  • Raise and process Purchase Orders, ensuring timely approval for payment.
  • Prepare customer quotes using the Reynolds & Reynolds system.
  • Liaise with sublet contractors to coordinate work and confirm service details.
  • Allocate technicians’ hours to repair orders accurately.
  • Complete weekly timesheets and maintain organised, up-to-date filing.
  • Proactively identify and recommend process improvements.
  • Ensure all tasks comply with relevant OH&S requirements.

What You’ll Bring

  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Demonstrated experience providing administration support within a mechanical or technical service department.
  • Confident communication skills with the ability to liaise effectively with internal teams and suppliers.
  • Experience using the Reynolds & Reynolds system (highly regarded).
  • Ability to generate service reports and interpret system data.
  • Commitment to following company policies and working to high accuracy standards.
