Are you an experienced Document Controller looking to join a growing and dynamic team working on a diverse range of projects? We are seeking a highly organised and detail-focused Document Controller to manage project documentation, information flow, and reporting processes across multiple projects. This role is critical in ensuring project information is accurately maintained, distributed, and controlled throughout the project lifecycle.
The Role
As a Document Controller, you will be responsible for managing project documentation within digital document management systems, ensuring information is correctly stored, tracked, and issued to project stakeholders. Working closely with project teams, consultants, and contractors, you will play a key role in maintaining document control procedures and ensuring project information is up-to-date and accessible.
Key Responsibilities
- Manage and maintain project documentation and records.
- Upload, distribute, and track documents through digital document management systems.
- Ensure all documentation is correctly named, version controlled, and stored in line with company procedures.
- Maintain document registers, trackers, and project databases.
- Monitor document workflows and chase outstanding information where required.
- Ensure information is issued to relevant stakeholders accurately and on time.
Reporting & Administration
- Support project teams with document reporting and status updates.
- Maintain project dashboards and information trackers.
- Record meeting minutes, actions, and document-related updates.
- Assist with project audits and compliance requirements.
- Maintain accurate records and document histories.
Stakeholder Coordination
- Liaise with internal teams, consultants, contractors, and external stakeholders regarding project documentation.
- Support consistency in document control procedures across multiple projects.
- Assist project teams with information management queries and system usage.
- Escalate document control issues and missing information when necessary.
About You
- Previous experience as a Document Controller, Project Administrator, Information Coordinator, or similar role.
- Experience using document management platforms such as SharePoint, Aconex, Viewpoint, Asite, ProjectWise, or similar.
- Strong understanding of document control processes and procedures.
- Excellent organisational skills with strong attention to detail.
- Proficiency in Microsoft Office, particularly Excel.
- Strong communication and stakeholder management skills.
- Ability to prioritise workload and manage multiple deadlines.
