Homecare Administrator

Toensure all Homecare prescriptions generated within CDDFT are processedcorrectly and are transmitted to the relevant Homecare companies.
To follow departmentalstandard operating procedures (SOPs) to raise orders against Homecare deliveryconfirmations.
To process Homecareinvoices through the pharmacy procurement management system in line withdepartmental SOPS.
To be first point ofcontact for CDDFT clinical specialists to resolve any issues relating to theprocessing of homecare prescriptions.
Tobe first point of contact for Homecare providers to resolve any queriesrelating to invoice issues or discrepancies between quantities supplied orcontact issues.
Main duties of the job
Towork closely with the Lead Technician and Senior Technician for Homecare andProcurement and the Strategic Lead Pharmacist for Homecare to ensure a safe andefficient Homecare service is maintained to meet the recommendations of theNational Homecare Review committee and to ensure all financial processes aremade according to the Trusts Standing Financial Instructions.
To undertake clericalduties to support the collection of data relating to homecare services andFreedom of Information (FOI) requests.
To ensure Homecare prescriptionlogs are kept up to date and housekeeping is undertaken at regular intervals.
To support the Homecare andProcurement Administration Assistants with all aspects of homecare processes.
To ensure patientidentifiable data is only kept for a long as is required and processes forarchiving and disposal of records are followed.
Togenerate reports and provide supporting information to allow the organisationto understand its overall management of the Homecare schemes.

Job responsibilities
Toensure that:
Pharmacy Procurement and Homecare AdministrationAssistants are supported whilst they undertake homecare processes.
All departmental SOPs relating to Homecare services areadhered to.
All Homecare prescriptions received by the homecare teamhave:
– been professionally checked by a pharmacist.
– a total quantity to supply annotated.
– a Purchase order (PO) number generated andthis is annotated on the prescription.
All Homecare prescriptions and associated registrationdocuments are transferred to the Homecare providers within agreed timescales asset out by the Strategic Lead Pharmacist for Homecare.
Medications that we receive invoices from Homecareproviders for match the medications, devices and quantities on theprescription provided.
The pharmacy computer system is appropriately used toensure:
– orders are being raised for the correcthomecare products.
– all processes relating to raising, authorisingand receiving orders are completedin line with SOPs.
– the correct prices are being charged to CDDFTby the Homecare Providers.
– all invoices for medications that have beensupplied to patients are processed accurately and in a timely manner.
Invoices queries are investigated in a timely manner toensure resolution by liaison with external Providers.
Any outstanding and overdue invoices are cleared byliaising with external Homecare providers and the Trust Financial ServiceDepartment.
Unresolved invoice discrepancies are escalated to theLead and Senior Technician for Homecare and Procurement for furtherinvestigation.
Monthly statements from the Homecare companies arechecked and that any overdue amounts are investigated in conjunction with theTrusts Financial Services Department.
Regular supplier error monitoring is undertaken(identified at invoicing stage).
Monthly financial reports are produced detailingexpenditure on Homecare services for the Trust.
As a member of the seniorteam within Appleton house offer support to other members of the team duringLead or Senior Technician absence.
