About the Role
The Brands Dispense Co‑ordinator is responsible for managing and coordinating all dispense installation activities and related initiatives. This role ensures the end‑to‑end process from initial logging of RFW to completion of work is executed efficiently and as cost effectively as possible, in line with customer requirements, while delivering data‑driven insights to support strategic decision‑making and operational excellence. In addition, the role focuses on optimising all brands dispense processes and embedding a culture of continuous improvement. This includes identifying inefficiencies, implementing best practices, and leveraging data‑driven insights to streamline workflows, enhance operational effectiveness, and maximise return on investment.
- Log and coordinate all dispense install activity across all brewers, managing the full lifecycle from initial request through to completion, continually monitoring status and escalating delays or issues.
- Log and coordinate all events ensuring all relevant quotes are obtained from the various suppliers to ensure most cost‑effective approach and best return on investment opportunity.
- Oversee scheduling and management of approvals, liaising with internal teams and external partners, and ensure timely execution of installations in line with agreed costs and rate cards.
- Monitor installation lead times, escalating risks and delays accordingly to all key stakeholders.
- Confirm completion of all works, capturing accurate completion details and costs.
- Ensure customer satisfaction and capturing of feedback on any challenges and communicate these back to third‑party suppliers.
- Produce accurate, timely, and insightful reports for senior leadership on all brands dispense activity across GB to facilitate discussions in the monthly dispense forum.
- Ensure data integrity and compliance with internal reporting standards and governance requirements.
- Provide actionable insights to support decision‑making and continuous improvement initiatives.
- Produce consolidated reporting for weekly, monthly or ad‑hoc reviews.
- Manage all MBMS transactions across all brewers in conjunction with Innserve to ensure that all transactions are verified and accurate.
- Ensure data integrity checks and clear audit trails to facilitate all transactions and that bar records are updated and accurate.
- Raise all invoices and PO’s for MBMS and line lease to ensure that all costs are captured and recovered accordingly.
- Ensure robust reporting to accurately communicate latest MBMS position to senior leadership.
- Ensure that all dispense activity is billed in line with agreed rate cards.
- Support the Brands Dispense Technical Manager in verifying the monthly billing audits to ensure that charges are being applied in line with agreed rate cards.
- Identify and report any non‑compliance and escalate this for corrective action.
- Provide timely feedback to suppliers to drive continuous improvement.
- Review Maintenance data and identify areas of underperformance or optimisation and communicate these accordingly to the supplier.
- Responsible for all updates to Innserve bar records and maintaining the cross reference between account opening and Innserve account ID.
- Support the passing of account closure data based on the lost and lapsed input from the sales team and ensure that all relevant action is taken.
- Carry out monthly checks on the bar record data and ensure that all entries are in line with installation and removal data.
- Review line counts and other brewer’s data to ensure maximum data integrity.
- Ensure robust data integrity is maintained in all brands dispense transactions.
- Review and optimise all dispense‑related processes to improve efficiency and cost‑effectiveness.
- Identify bottlenecks and implement best practices to streamline workflows.
- Drive initiatives that embed a culture of continuous improvement across the dispense function.
- Monitor and control costs associated with installations to maximise return on investment.
- Identify opportunities for cost savings without compromising quality or service standards.
- Ensure all activities comply with company policies, health and safety standards, and governance requirements.
- Maintain audit‑ready documentation for all dispense operations.
- Work closely with Sales, Marketing, Technical Service providers, and external contractors to ensure seamless execution.
- Support cross‑functional projects aimed at improving operational excellence and customer experience.
