Salary Range: Β£30,000 – Β£35,000 depending on experience and skill
Location: Hybrid working – Gateshead (Expectation is to be in the office for 2 days per week – Normally Tuesday and Wednesday or Thursday – May be required more frequently during induction and training).
Full Time 37.5 hours per week.

What will I get to do?
We are seeking a proactive and detail-oriented Change & Project Coordinator to oversee the organisation\’s change management processes. This role, situated within the Project Management Office (PMO), encompasses managing changes across software products, business processes, tools, and technologies.
The successful candidate will ensure that all change initiatives are effectively assessed, documented, and transitioned into projects when necessary, coordinating their handover to Project Managers (PMs) and ensuring all relevant stakeholders are informed of project commencement. Additionally, this role involves monitoring Project Managers\’ workloads, managing project-related risks, and providing support to Project Managers as needed. Upon project completion, the Change & Project Coordinator will review outcomes to inform the Quality Assurance (QA) process, thereby minimising risk and enhancing overall organisational effectiveness.
What will my day look like?
You will act as a point of support for Project Managers, assisting with challenges that arise during project execution, providing guidance on change management processes and tools to enhance project delivery effectiveness.
Tasks and responsibilities:
- Manage and coordinate all activities necessary to control, track, and audit changes across the organisation, including software, processes, and tools.
- Ensure that submitted change requests are complete and contain all necessary details to facilitate evaluation and implementation. Facilitate impact assessments by overseeing their transition through their lifecycle.
- Ensure that changes submitted for approval are complete and contain all necessary details before presenting them to the Change Advisory Board (CAB) or other relevant committees for approval.
- Facilitate CAB meetings and document outcomes.
- Identify Project Manager resources for assignment to a project before obtaining authorisation from senior management.
- Facilitate the conversion of approved change requests into projects, coordinating their handover to the assigned Project Managers.
- Ensure all relevant stakeholders are informed of project initiation, providing necessary documentation and context for successful project commencement.
- Monitor and report on Project Managers\’ workload distribution to ensure balanced allocation and optimal resource utilisation.
- Provide insights to senior management regarding capacity planning and potential resource constraints.
- Oversee the progression of pipeline projects linked to change initiatives, ensuring timely advancement through various stages.
- Maintain a comprehensive view of upcoming projects to facilitate proactive planning and resource allocation.
- Collaborate with Project Managers to identify, assess, and document risks associated with ongoing projects.
- Ensure that risks are escalated appropriately and in a timely manner to relevant stakeholders, facilitating prompt mitigation.
- Initiate review meetings upon project completion and document outcomes, providing feedback to the QA team to inform continuous improvement in processes, tools, and product quality.
- Maintain comprehensive records of change requests, projects, and outcomes.
- Generate reports to communicate status, progress, and issues to relevant stakeholders.
- Identify opportunities to enhance the change management and project processes and procedures.

You should also possess the following skills, experience and qualifications:
Essential:
- Demonstrated experience in change management within a software delivery or IT environment.
- Experience coordinating projects and working within a PMO setting.
- Strong understanding of change management principles, methodologies, and tools.
- Proficiency in analysing data related to project workloads and performance metrics.
- Ability to generate clear and actionable reports for various stakeholders.
- Strong understanding of risk assessment methodologies and experience in coordinating risk management activities within projects.
- Excellent ability to manage multiple tasks simultaneously.
Desirable Experience & Qualifications:
- Familiarity with ITIL frameworks and Agile methodologies.
- Experience using Microsoft DevOps Boards is desirable.
- ITIL Foundation Certification
- Certified Change Management Professional (CCMP)
- Project Management Professional (PMP) or PRINCE2 Certification
- Bachelor\’s degree in Information Technology, Business Administration, or a related field
