Join Our Team – Facilities Maintenance Administrator We are seeking a highly organized and proactive Facilities Maintenance Administrator to join our Reactive Trades Team. Your responsibilities will include: Raising job requests and managing quoted works Ensuring RAMS (Risk Assessments and Method Statements) are completed before site work Providing timely updates to clients and engineers Managing permits and compliance documentation This role is ideal for someone who thrives in a fast-paced environment and is passionate about delivering excellent service. Primary Duties: Collaborate closely with the Fabric Contracts Assistant Plan and schedule quoted jobs for specific trades daily Advise clients on attendance dates and realistic timeframes based on trade and availability Complete RAMS for quoted works and reactive jobs as requested Manage materials delivery, checking deliveries at least 24 hours prior to work Assist engineers with on-site queries via telephone Liaise with clients and escalate issues to managers when needed Record data in internal CRM systems Create Fire Door Reports in coordination with the Fabric Planned Assistant Complete all permits of work Previous experience in the facilities maintenance industry is highly advantageous. Skills Required: Strong communication skills Problem-solving confidence Excellent typing and attention to detail Ability to work independently or as part of a team Flexibility to adapt to changing workflows Knowledge of construction/facilities management industry Experience in a trade environment Hours of work: Monday to Friday, 8am - 5pm; alternating weekly with Monday to Thursday, 8am - 5pm, and Friday, 8am - 4pm.
