CC Cousins is looking for a Temporary Administrator to join our busy and friendly office team. This is a varied administrative role supporting our engineers, Contracts Manager and wider operations team. You will play an important part in keeping jobs moving, ensuring engineers have the information and materials they need, maintaining accurate records and keeping track of works being completed for our clients. This would suit someone who is organised, practical, confident using IT and able to manage several tasks at once in a busy working environment.
Key Responsibilities
- Provide day-to-day administrative support to engineers and the Contracts Manager
- Assist with the planning and coordination of engineer workloads
- Keep track of client works and ensure jobs are progressing as required
- Update internal systems and records with accurate job information
- Monitor outstanding works and follow up with engineers where necessary
- Assist with raising and updating jobs on our Job Logic CRM/CAFM system
- Maintain accurate records of completed and outstanding works
- Manage and maintain inventory records, including stock levels and materials
- Track materials and equipment issued to engineers
- Assist with ordering materials and ensuring engineers have the equipment required for their jobs
- Liaise with suppliers, engineers, clients and subcontractors when required
- Assist the Contracts Manager with general administration and reporting
- Prepare spreadsheets, reports and other documentation
- Monitor emails and respond to enquiries in a professional and timely manner
- Help ensure client works are kept up to date and completed within required timescales
- General office administration and other duties to support the operational team
About You
We are looking for someone who is reliable, organised and proactive, with the ability to work in a busy environment where priorities can change throughout the day. You will ideally have:
- Previous administration experience
- Good written and verbal communication skills
- A confident and professional telephone manner
- Good knowledge of Microsoft Office, particularly Excel, Outlook and Word
- The ability to maintain accurate records and work with spreadsheets
- The confidence to communicate with engineers, managers, suppliers and clients
- The ability to prioritise workload and meet deadlines
- A practical and common-sense approach to problem solving
- The ability to work independently while also being a strong team player
Experience within facilities management, construction, engineering or a similar operational environment would be advantageous but is not essential.
