The Role
We are looking for an organised and proactive Electrical Contracts Coordinator to join our growing team, providing essential administrative support to our Electrical Contracts Manager and team of electricians.
This is a fast-paced role where no two days are the same.
You will play a key part in ensuring electrical maintenance and installation works run efficiently by coordinating engineers, ordering materials, communicating with clients and keeping all job information up to date.
The successful candidate will be confident managing multiple priorities, communicating with clients and engineers, and using internal CRM and client portal systems.
Key Responsibilities
- Provide day-to-day administrative support to the Electrical Contracts Manager.
- Coordinate and schedule electrical engineers for reactive maintenance, planned works and quoted projects.
- Raise new job requests for electrical works on internal systems.
- Order electrical materials and liaise with suppliers to ensure timely delivery.
- Keep clients informed throughout each stage of the works, from booking through to completion.
- Monitor job progress, ensuring works are completed within agreed timescales.
- Update client portals and internal joblogic system with accurate job information and completion details.
- Respond to client queries and provide progress updates where required.
- Handle incoming calls from clients, electricians and suppliers.
- Produce daily logs, reports and update electronic logbooks where required.
- Send attendance confirmations to clients and calendar invitations to engineers.
- Ensure all relevant documentation, including RAMS and Health & Safety paperwork, is in place prior to works commencing.
- Assist with producing quotations, work orders and other contract documentation.
- Carry out any additional administrative duties required to support the Electrical Department and wider business.
About You
We're looking for someone who is organised, customer-focused and thrives in a busy office environment.
Ideally you will have
- Previous experience as a Contracts Administrator, Service Coordinator or Administrator within an electrical, construction or facilities management environment.
- Experience coordinating engineers or field-based staff.
- Knowledge of electrical maintenance or contracting would be highly advantageous.
- Experience ordering materials and liaising with suppliers.
- Excellent communication and customer service skills.
- Strong organisational skills with the ability to prioritise a busy workload.
- Excellent attention to detail and accurate data entry skills.
- Confidence using CRM systems, Microsoft Office and client portals.
- The ability to work independently while also being part of a collaborative team.
