Our client is seeking an experienced Office/Building management professional to join their team at their prestigious offices in Mayfair, London. This role is varied and combines reception, office/building management, and personal assistant duties. You will be the first point of contact for visitors and tenants, ensuring the building runs smoothly, and providing PA support to the Family Office and property owner.
Key Responsibilities include:
- Building Management & Operations
- Carrying out daily checks of the building and common areas
- Liaising with managing agents, contractors, and service providers
- Monitoring building security, visitor logs, and keys/fobs
- Ordering and managing building supplies
- Ensuring health & safety procedures are followed
- Coordinating maintenance jobs across the property portfolio
- Liaising with property management companies
- Assisting with compliance matters (HMO licences, inspections, records)
- Personal Assistant Support
- Managing diaries, meetings, and travel arrangements
- Assisting with personal and family-related bookings and tasks
- Reception & Visitor Experience

About you:
You will be articulate, highly organised, reliable, and able to manage multiple tasks confidently in a busy environment. You will have had previous experience in a receptionist, customer service, building management, or property-related role, with strong communication skills and a professional, friendly manner. A relevant professional certification in property management, or facilities management would be ideal. You will be proactive, discreet, and comfortable working independently, while remaining calm and tactful when handling sensitive or challenging situations. Familiarity with building security systems is an advantage. Flexibility to work shifts, including evenings or weekends when required, is essential. Applicants should ideally live in London and be comfortable being onsite every day. A Bachelor's degree in Business, Property Management, Facilities Management, or a related Social Science field would be an advantage. Proficiency in using standard office equipment, including multi-line phone systems and computer software (MS Office, email, and calendar applications).
