The Role

To be part of the Retail Property Management Team in a client-focused role ensuring accurate and timely delivery of service and achievement of Key Performance Indicators within the department.

Key Responsibilities

  • Ensure successful rent and service charge demands are raised accurately and on time
  • Ensure credit control targets are met for rent and service charge collections, working with Property Management Accounts and credit control teams to achieve KPI targets
  • Prepare client reports to correct specifications and issue on time
  • Lead in client meetings, presenting confidently and providing clear recommendations
  • Carry out day-to-day property management to ensure compliance with statutory liabilities; conduct property inspections and maintain the property data base
  • Ensure compliance and escalate non-compliance issues
  • Coordinate insurance valuations and recharges to tenants; manage insurance premiums
  • Forecast, manage, report and bill turnover rents with site-based finance teams
  • Prepare service charge budgets and reconciliations; monitor costs against budget and liaise with finance
  • Handle service charge queries from tenants; maintain service charge apportionment and advise on alterations
  • Manage dilapidations and vacant unit strategy; ensure EPC/compliance knowledge
  • Manage rating matters, including rating liabilities and liaising with consultants
  • Assist with letting, lease renewals and rent reviews as required; support landlord works and CPSE inquiries
  • Manage tenant applications and respond to legal notices per lease obligations and statutory requirements
  • Raise and collect management fees; monitor ad hoc fees
  • Identify and escalate risks or improvements; manage voids and aged debt with PM Accounts
  • Engage with client Portal and coordinate with FM team and software developers to meet client expectations
  • Oversee turnover data collection and reporting of turnover rents to the client

Key Skills/Knowledge

  • RICS qualification (desirable) with 3-5 years’ UK property management experience in retail/mixed-use
  • Strong commercial acumen
  • Ability to build relationships with client, team, occupiers and stakeholders
  • Knowledge of service charge management and lease terms; CBRE procedures
  • Understanding of lease structures, VAT, banking and credit control
  • Experience with tenant applications and consent processes
  • Proficient use of CBRE IT applications and ability to coordinate across teams
  • Awareness of current retail property management legislation
  • Ability to align with client investment objectives and cross-sell where appropriate
