The Senior Personal Assistant will provide high quality and efficient support to the Head of Strategic Transformation / UK Head of Infrastructure, plus support to other senior members of his team. They will provide general administrative support to all team members and collaborate across the Assistant team to ensure that Strategic Transformation and client needs are met at all times.
Key Responsibilities:
- Point of contact for the team
- Diary Management for a Director, Senior Director and Executive Director
- Inbox Management for Senior Director and Executive Director
- Setting up recurring team meetings
- Meeting room booking
- Liaising with the travel company to book flights, train tickets and hotel accommodation and on occasions, creating travel itineraries
- Creating, formatting, and amending documents, correspondence, and presentations to ensure they are in line with the corporate standards
- Set up client meetings and similar events
- Finance related support such as raising invoices and submitting expenses
- Create itineraries and Chair team meetings when required
- Cover for other assistants when on leave and support ad hoc tasks for wider business when required
- Other ad-hoc activities to help in the running of the team
Marketing and Events:
- Coordination of client and team events
- Track client responses to invitations
- Distribute documents on behalf of Senior Director and Executive Director
- Other similar ad-hoc activities
Person Specification/Requirements:
- Advanced IT skills (PowerPoint, Word, MS Outlook, Excel)
- Good communication skills, both verbally and in writing
- Team player who effectively works with colleagues and clients of varying seniority
- Accurate and exceptional attention to detail
- Ability to prioritise and co-ordinate tasks efficiently ensuring all deadlines are met
- Maintain a positive and flexible attitude towards all tasks
- Pro-active and enjoys working both autonomously and as part of a wider team
- Confident and assertive where required to assist team members
- Understands and appreciates the importance of using discretion particularly when dealing with confidential matters
