CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting a Facilities Coordinator to be based on our site in Milton Keynes. To effectively ensure the day-to-day delivery of planned and reactive maintenance tasks, this will include the supervision of specialist subcontractors and ensuring all CBRE and sub-contractor paperwork is up to date. Also ensuring that all Health and Safety procedures are followed as per the CBRE HSE guidelines.

Responsibilities
  • Maintain QHSE documentation and ensure availability in client CAFM systems (e.g., eLogbook) including Hazard Reports, training & competency records, and record keeping for CBRE ISO 9001/14001 and related Quality Management Systems.
  • Actively identify and implement innovations across the contract to enhance performance and meet client expectations.
  • Provide coordination and administrative support for delivery of Workplace Services, including coaching, onboarding, supported employment, and communications.
  • Coordinate and support Engineering services (Hard FM), Document Services, Mailroom Services, Office Supply Management, Cleaning Services; assist with conference, meeting, and event management including room booking, coordination, and planning as needed.
  • May facilitate client program coordination (e.g., Community Programs, Pet Programs, Parking/Commuting Program including local shuttle and bicycle program).
  • Assist the Workplace Experience leadership team with general administrative tasks including invoice processing, travel arrangements, expense reporting, and related duties.
  • Request building and/or equipment services as needed and provide administrative support for the Workplace Experience team (expense management, meeting coordination, equipment care, and supply management).
  • Manage accuracy, production, quality and retention of program materials; may include administration of SharePoint sites or similar tools.
  • Ensure client and company materials comply with brand guidelines.
  • Utilise and maintain the integrity of databases and other digital tools used for service delivery; respond to customer requests and complaints regarding Workplace Experience services.
  • Attend move meetings and coordinate all moves with client contacts; assist in the completion of the Office Business Continuity plan.
  • Maintain relationships with vendors providing office services and goods; ensure all vendors have current proof of insurance and contractual documentation in place, per requirements.
Qualifications
  • HS Diploma or GED required.
  • A minimum of 1 - 2 years related experience (e.g., Front Desk, Concierge, Hospitality, Room Management, or Customer Service roles) is preferred.
  • Ability to comprehend and interpret instructions, short correspondence, and memos; ask clarifying questions to ensure understanding.
  • Ability to write routine reports and correspondence; ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.
  • Ability to effectively present information to an internal department and/or large groups of employees; comfortable meeting and engaging with new people; warm and engaging demeanor.
  • Ability to assess circumstances, empathize and offer help.
  • Basic knowledge of financial terms and principles; ability to calculate simple figures such as percentages.
  • Ability to understand and carry out general instructions in standard situations; ability to solve problems in standard situations; basic analytical skills.
