About the role: We are seeking a highly organised and professional Desk Administrator / Receptionist to support the Investor Services team across London and New York, as well as the wider London office in an administrative capacity. This is a varied role combining executive coordination with responsibility for reception cover and day-to-day office support. You will act as a key point of contact within the London office, providing a professional and welcoming presence when covering reception during periods such as lunch breaks and annual leave, while also supporting the wider team operationally. The role also includes involvement in office management and health & safety coordination, making it ideal for someone who enjoys a hands-on, all-round position within a fast-paced environment. This is a fully office-based role, requiring attendance in the London office five days a week.

Responsibilities:

  • Acting as the first point of contact for visitors, calls, and incoming correspondence when covering reception, maintaining a professional front-of-house presence
  • Providing reception cover for the full-time receptionist during lunch hours, annual leave, and other absences
  • Managing meeting rooms, greeting guests, and supporting smooth day-to-day front-of-house operations
  • Supporting the Investor Services team with calendar management, including scheduling investor meetings
  • Coordinating international travel arrangements, itineraries, and agendas for the Investor Services team and the wider London office
  • Preparing confidential correspondence and meeting materials
  • Compiling and printing meeting packs and ensuring stakeholders are well-prepared
  • Supporting meeting coordination and internal/external events
  • Assisting with expense management and general administrative tasks
  • Supporting day-to-day office coordination, including supplies, facilities, and vendor liaison
  • Assisting with office management processes to ensure a well-run and organised workplace
  • Supporting health & safety administration, including maintaining records and assisting with compliance requirements
  • Managing and distributing queries to the team, responding directly where appropriate
  • Providing general support to the Investor Services team and assisting with ad hoc projects

Requirements:

  • Experience in a receptionist, office administrator, coordinator, or PA/EA role within a fast-paced environment
  • Strong front-of-house presence with excellent communication and interpersonal skills
  • Highly organised with strong attention to detail
  • Proactive, flexible, and willing to take ownership of a broad range of responsibilities
  • Ability to manage multiple tasks and prioritise effectively under pressure
  • Confident working both independently and as part of a team
  • Strong Microsoft Office skills, particularly Excel and PowerPoint
  • Professional, reliable, and able to handle confidential information with discretion
  • Demonstrates a high level of integrity and a positive, can-do attitude
  • Prior experience within the professional services industry is required
  • Displays and operates at the highest degree of ethics and integrity
