Cavenwell Group provides corporate, fiduciary and compliance services to international clients.
We are a growing, regulated firm with a culture built on ownership, collaboration and a drive for continual improvement.
We give people real responsibility early, encourage them to question how things are done and find better ways, and invest in the technology, automation and training that make that possible.
The role
We’re looking for someone from an operations background who has become the go-to person in their team for a system or process.
You’ll help build and improve our systems and automations alongside our Senior Manager – Technology & Operations, to whom you’ll report, and make sure what we build does what it should, is documented so people can use it without asking, and keeps working well after it goes live.
You’ll start with smaller workflow enhancements to the Senior Manager’s design and grow into larger builds over time.
Many of our processes exist to meet the regulatory requirements of the group’s licensed entities, and that footprint keeps growing, so getting things right first time matters.
This is not an IT helpdesk or infrastructure role: we run on cloud and no-code platforms, and key users in each team handle day-to-day user questions.
The role is fully remote (based in the UK), with a fixed daily overlap with a fixed daily overlap with UAE working hours (GST, UTC+4).
Key responsibilities
- Testing & quality assurance
- Test new builds, automations and changes before go-live: write test cases from the specification and acceptance criteria, run them, log defects and retest fixes.
- Run regression checks on existing workflows after changes, including statutory deadline generation and other automations that support regulatory obligations.
- Check contractor and developer deliverables against agreed acceptance criteria before they go to the Senior Manager for sign-off.
- Building & improvement
- Build and configure smaller workflows, automations and system changes, starting with small enhancements and moving on to defined parts of larger builds.
- Take every build through the System Change & Development Control policy, tested and documented before sign-off.
- Documentation & knowledge base
- Draft process notes, user guides and helper text for every roll-out, for review and approval at go-live.
- Keep SOPs and system documentation current as changes go live, with clear version history.
- Prepare training materials and short guides that help teams self-serve before raising a query.
- User support & systems administration
- Act as first point of contact for ‘how do I’ queries on core platforms without a dedicated key user (such as Airtable, Front and Gitbook), pointing people to self-service guidance first.
- Manage the change request queue: log, categorise and prioritise requests for review.
- Prepare user access requests and changes in line with approved policy, for review before they are actioned in live systems.
- Run 30-day post-roll-out checks with pod leads to confirm adoption and that procedures and controls work in practice, and record the findings.
- Monitor automation audit trails and exception reports, and elevate failures promptly.
- Maintain entries in the vendor and outsourcing register, incident log and systems inventory under the Senior Manager’s direction.
- Gather evidence for regulatory deliverables, control testing and reviews.
- Reporting & administration
- Keep the Contribution Tracker and Tech Update Reports up to date.
- Collect operational metrics for the quarterly Technology & Operations Board report.
- Track software subscriptions and seat usage, and flag cost-saving opportunities.
- Ownership & reliability
- Owns defined tasks end to end, such as testing, documentation or the request queue, and builds towards becoming the go-to person for a process or system.
- Completes allocated tasks on time and flags early if a deadline is at risk, with regular check-ins with their reviewer.
- Follows the firm’s policies and procedures, and raises where they don’t work in practice.
- Looking for someone who
- Gets their work right first time and understands why it matters.
- Has worked in operations in a regulated business and become the person their team goes to for its systems, or has built or automated something on their own initiative.
- Is detail-driven and notices the edge case others miss.
- Is curious, asks good questions and builds technical knowledge quickly.
- Is comfortable with logic, data structures and how workflows connect, picks up new tools quickly, and is interested in how AI and automation can improve processes.
- Handles client data and confidential information with discretion.
Experience and education
- 1–3 years’ experience in operations in a regulated business (for example fund administration, trust and corporate services, fintech, payments or banking operations), or in junior QA/testing or business analysis in fintech or financial services.
- Hands-on no-code or automation experience: has built or improved workflows in no-code/low-code platforms, or automated processes with tools such as Zapier or Make.
- Clear, concise written English: able to turn a process into a guide someone else can follow.
- A relevant degree or equivalent experience, and studying towards (or willing to study for) a qualification relevant to the discipline, such as ITIL 4 Foundation or BCS Foundation in Business Analysis.
- Advantageous: exposure to KYC, AML, risk or compliance workflows; familiarity with Front or Gitbook; basic fluency in structured data (e. g.
JSON, API schemas); experience using AI assistants or agents.
