Role Profile: Executive Assistant

Responsible to: Commercial Director

Location: Mayfair, London (Full-time Office Based)

Contract: Initially to Cover Maternity Leave

Role Summary:

The candidate will support the Commercial Director and his team with a diverse portfolio of responsibilities across the company’s development projects in the UK and France.

Providing strong secretarial support, this is a varied and key role ensuring the efficient and smooth running of multiple business activities.

The successful candidate will be highly competent and confident in all aspects of diary management and used to being the gatekeeper for senior employees.

The Executive Assistant will be expected to have the ability to operate autonomously and be able to undertake any task with confidence and enthusiasm.

Key Responsibilities (include but are not limited to):

  • Support the Commercial Director in the management of his responsibilities and those of the Sales & Marketing function across the department.
  • Assist with the management of the company’s investment & development portfolio.
  • Support the team with administration tasks.
  • Arranging staff travel.
  • Processing expenses.
  • Efficient data management.
  • Office Floor and Presentation Suite management (monitoring, ordering and distributing supplies).
  • Support the team\’s and the Presentation Suite calendars, booking meetings and scheduling regular maintenance.
  • Liaising with the Asset Management Team on building maintenance to reduce disruption to the sales experience.
  • Contractor management, monitoring service and standards and reporting back where required.
  • Overseeing the preparation of the Presentation Suite for visitors, all rooms are set up as required and reset after use.
  • Any other ad hoc duties that may be required.

Experience:

  • At least five years’ experience as an Executive Assistant in a real estate organisation.
  • Be financially numerate and confident in using Microsoft Excel.
  • Fully proficient in using Microsoft Office Suite.
  • Well organised with an attention for detail.
  • Educated to an A level or University Degree Level.
