Job Summary: To assist the Logistics and Supply Chain department with daily activities surrounding imports and exports, providing administration and finance support where required.
What You Will Do:
- Ensure full adherence to SPM Oil & Gas Health & Safety, Environmental, and Quality policies at all times.
- Prepare commercial invoices for export and manage the sales scheduling log.
- Maintain compliance with all applicable regulations and procedures.
- Perform all incoming stock activities, including completing TBS reports, verifying commercial invoices, and preparing clearance instructions.
- Monitor and track late incoming stock to support operational continuity.
- Update all trackers to provide accurate status updates and ensure transparency for the sales team.
- Coordinate customer collections and manage invoicing activities.
- Liaise effectively with freight forwarders and customs brokers to support shipments and customs processes.
- Assist in responding to audit queries and ensuring timely resolution.
- Support the investigation and reconciliation of stock discrepancies.
- Assist with purchasing external goods and services as required.
- Support the accounts payable function through accurate PO receipting.
- Assist with reconciling and maintaining accurate company credit card records in line with established procedures.
- Manage the procurement of office supplies.
- Coordinate the purchase and distribution of weekly healthy snacks.
- Assist with arranging and managing company travel requirements.
- Handle incoming and outgoing mail and courier services upon request.
- Manage incoming calls in a professional and timely manner.
- Perform additional administrative duties as required to support the department.
- Assisting the Logistics & Supply Chain Manager with imports and exports, ensuring company policy and compliance is maintained at all times (90%)
- Provide administrative support where required in the business (10%)
What You Have:
- Strong communication and interpersonal skills, with exceptional organisational ability
- Hands-on experience with Syteline or comparable ERP systems
- Proficiency in Microsoft Office applications, including Word and Excel
