Personal Assistant
We are seeking a highly organised, proactive and professional Personal Assistant to provide comprehensive administrative and secretarial support to Executive Directors
This is a fast-paced and varied role where you will be responsible for managing complex diaries, coordinating meetings, handling confidential correspondence and ensuring the smooth day-to-day operation of the Executive Directors’ portfolios. The successful candidate will act as a key point of contact for internal and external stakeholders and play a vital role in supporting senior leadership.
Key Responsibilities
Executive Support
- Manage complex and constantly changing diaries.
- Coordinate meetings, appointments and travel arrangements.
- Monitor and manage Executive Directors’ email inboxes.
- Handle incoming and outgoing correspondence.
- Prioritise enquiries and respond appropriately on behalf of Executive Directors.
- Prepare reports, presentations and professional documentation.
Meeting & Committee Support
- Organise and attend Board and Committee meetings.
- Produce accurate minutes and action logs.
- Prepare agendas and circulate papers to agreed deadlines.
- Track actions and ensure timely follow-up.
- Maintain meeting records and governance documentation.
Stakeholder Management
- Build effective relationships with colleagues, senior leaders, external partners and regulatory bodies.
- Act as a professional ambassador for the organisation.
- Manage sensitive and confidential information with discretion.
- Deal professionally with complex enquiries and challenging situations.
Administrative & Office Management
- Maintain electronic and paper filing systems.
- Ensure accurate record keeping and document management.
- Support projects and ad hoc work as required.
- Contribute to the continuous improvement of office processes and systems.
- Provide cover for colleagues during periods of absence.
What We’re Looking For
Essential
- Significant recent experience providing PA support at Director or Senior Manager level.
- Experience managing multiple priorities and competing deadlines.
- Experience taking minutes at senior-level meetings and committees.
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.
- Ability to handle sensitive information with confidentiality and professionalism.
- Advanced Microsoft Office skills, including Outlook, Word, Excel and PowerPoint.
- Ability to work proactively, independently and under pressure
- Excellent attention to detail and problem-solving abilities.
- Experience working within healthcare
