We are looking for an organised, proactive and customer-focused Client Coordinator to support the delivery of smaller projects across a varied client portfolio.
Working alongside Technical Project Managers you will coordinate the administrative and operational activity required to keep projects moving from initial instruction through to completion.
This is a busy, varied role requiring someone who can manage multiple priorities, maintain accurate records and communicate confidently with customers, engineers, subcontractors and internal teams.
Key Responsibilities
- Project & Workflow Coordination
- Coordinate multiple projects, ensuring actions, deadlines and requirements are followed through.
- Support Technical Project Managers with scheduling, mobilisation and ongoing project administration.
- Coordinate engineer and subcontractor attendance, materials and other project requirements.
- Raise and track subcontractor work orders and monitor progress through to completion.
- Maintain accurate project trackers and proactively highlight delays, risks or issues.
- Support quotations, purchase orders, variations, uplifts and invoicing.
- Systems & Administration
- Maintain accurate and up-to-date project information within the CRM system.
- Update job statuses, costs, documentation, subcontractor information and project progress.
- Ensure project documentation is complete, accurate and consistently maintained.
- Assist with reporting, KPI tracking and general system administration.
- Customer & Stakeholder Management
- Act as a key point of contact for customers, subcontractors and internal teams throughout the project lifecycle.
- Respond to queries professionally and provide clear, proactive updates.
- Build strong working relationships with customers and operational teams.
- Support Project Managers and Senior Management with regular project updates.
- Compliance & Commercial Support
- Ensure projects follow internal processes and required governance procedures.
- Support the collation of project handover documentation.
- Assist with tracking project costs, variations and operational updates.
- Help ensure projects are delivered on time, within agreed requirements and in line with company procedures.
- Identify opportunities to improve processes and operational efficiency.
About You
We are looking for someone who is highly organised, commercially aware and comfortable working in a fast-paced, project-driven environment.
You will ideally have
- Experience in project coordination, administration or a similar operational role.
- Strong organisational skills with the ability to manage multiple live projects and competing priorities.
- Excellent attention to detail and confidence working with systems, documentation and data.
- Strong communication and customer service skills.
- A proactive, solutions-focused approach and the confidence to identify and elevate issues when required.
- Good IT skills and experience using business management or project systems.
