About the Role : The Receptionist / Office Assistant is a key front-facing role at the Institute of Podiatrists, acting as the first point of contact for patients, visitors, and members. You will represent the Institute with professionalism and warmth, ensuring everyone receives a positive and welcoming first impression.
Alongside reception duties, you will provide essential administrative support to ensure the smooth day-to-day running of the office, including managing enquiries, coordinating appointments, and maintaining records. This role requires strong communication skills, organisation, and a proactive approach to delivering excellent service.
Key Responsibilities
- Greeting patients, visitors, and members in a friendly and professional manner
- Check patients in and out and handle any related documentation
- Booking appointments to maximise the diary, including filling appointment space, and maintaining accurate records
- Liaise with clinical staff to ensure the smooth running of appointments
- Maintain a clean, tidy, presentable and welcoming reception area
- To provide support with general office tasks - such as filing, post distribution, and other administrative duties - as required, when not otherwise engaged in primary responsibilities.
- Taking payments, cashing up
- Manage course related stock
Skills Required :
- A genuine interest in the healthcare industry and eagerness to grow professionally.
- Strong organisational skills, a supportive team-player attitude, and the ability to work well under pressure and manage time effectively.
- Respectful and proactive in providing support to colleagues and creating a welcoming atmosphere.
- Proficient in the use of MS Office suites such as Word, Excel, Outlook, etc.
- Strong administration skills and a high level of attention to detail.
- Excellent verbal and written communication skills.
- Interpersonal and customer service skills for dealing with customers, suppliers and other employees.
- Experience in a similar role is preferred, but not essential
Working Hours :9:00am - 5:00pm, Monday to Thursday and 9:00am - 4:00pm on Friday.
