We are looking for an experienced and reliable College Administrator for our Catch22 College Bishop Auckland site. As a College Administrator you will be providing day-to-day administrative support, ensuring an effective and professional service in our College provision. As the College's administrator, you will also play a key role in ensuring the smooth running of the systems and processes that support the day-to-day running of the provision.
As College Administrator, your main accountabilities will be:
- Supporting with the day-to-day running of the centre answering phones (taking accurate messages or referring callers), managing the post systems, ordering and replenishing refreshment and stationery.
- Overseeing attendance monitoring, calling students, writing letters inputting on to online registers.
- Supporting the team with any administrative related tasks such as booking meetings, arranging refreshments for meetings, writing letters, shredding, photocopying etc.
- Completing learner bursary spreadsheet and send to finance in line with deadlines.
- Facilitating communications between Head Office, the wider Directorate and the Programme in order to ensure effective support for the network.
- Using the purchasing system to raise purchase orders, requisitions and receipt goods.
- Dealing with enquiries relating to purchase orders and requisitions from suppliers, finance and accounts payable.
- Overseeing Petty Cash systems and ensure that this is replenished in a timely manner so as not to affect the smooth running of the service.
- Complying with Health and Safety policies and procedures.
- Acting as a First Aider and Fire Warden in the Centre.
- Acting as an Exams Administrator to the Centre’s Awarding body, enrol students onto relevant courses, and apply for certification on completion.
Essential Qualifications:
- Level 2 or equivalent in English and Maths.
Desirable Qualifications:
- Business Administration qualification.
Essential Experience:
- Proven experience of working in an Administrative capacity.
- Excellent knowledge of Microsoft office including Word, Excel, and Powerpoint.
- Proven ability to communicate effectively at all levels and build sound relationships.
- Knowledge of finance, invoicing and administrative systems.
- Experience of data entry onto databases.
- Able to draft own correspondence and proofread.
- Able to develop administration & finance procedures.
Desirable Experience:
- Experience working within a school, college or other educational settings.
- Experience working in a setting with vulnerable/ challenging young people.
Essential skills and abilities:
- Ability to build and develop good working relationships at all levels, internally and with outside organisations.
- Ability to operate in a fast-paced, challenging and diverse environment.
Additional Information:
- Contract: Fixed Term till 30/04/27, Term-time only, Maternity leave cover.
- Hours: Part-time (25 hours per week).
- Salary: £25,500.00 pro rata £15,718.00.
- This role is subject to an enhanced DBS check.
