At Castor, we’re modernizing the backbone of clinical research. Clinical trials are the gatekeepers of human health, yet the industry is still bogged down by fragmented, manual processes that can waste time and exclude patient populations. We provide a modular cloud platform designed to run trials end-to-end. Our foundation is a robust Electronic Data Capture (EDC) system, supported by eConsent for recruitment and screening and eCOA to accurately capture patient-reported outcomes. We use Castor Catalyst (our high-precision AI automation) to strip away the manual effort that historically makes research slow and expensive.

How we work:

  • Trust over tracking: We are a remote-first company built on the belief that talented people do their best work when they have the agency to manage their own lives.
  • Work-life integration: We don't believe in performative presence. We trust you to own your schedule and show up for your team while also making space for your life outside of work.
  • Deep work & async: We protect your time. We prioritise thoughtful, asynchronous communication so you can focus on solving hard problems without a calendar full of status update meetings.
  • Radical candor: We value the truth over hierarchy. We give and receive direct feedback because that’s how we grow, as individuals and as a company.

Your mission and impact:

As our Vendor Manager, you will ensure our external vendors act as a seamless, high-quality extension of Castor's solutions. Your mission is to build and maintain a reliable vendor ecosystem that supports our Sales, Professional Services, and Data Management teams. You’ll optimise vendor performance, ensure timely procurement of study-critical services, and maximise the impact of our clinical research deliveries. You are also responsible for all assurance activities related to the availability, integrity, and confidentiality of customer, business partner, employee, and business information in compliance with our information security policies.

What you’ll be doing:

  • Support the identification, selection, onboarding, and day-to-day management of clinical study vendors across supporting service lines (e.g., CTMS, eTMF, eCOA scale licensing, translations, patient recruitment, etc.).
  • Collaborate with Sales, Marketing, and Solutions to equip the commercial team with the knowledge and collateral needed to effectively position complementary vendor services alongside Castor’s core offerings.
  • Ensure all external clinical study vendors are onboarded in compliance with the Supplier Policies outlined in Castor’s Quality and Information Security Management System (QISMS).
  • In close partnership with Legal, Security, and Compliance; coordinate and review vendor contracts, reseller agreements, and Statements of Work (SOWs) to ensure compliance with applicable regulations, favourable commercial terms, and clear Service Level Agreements (SLAs).
  • Collaborate with the Solutions and Sales teams by gathering accurate vendor quotes and rebids; while partnering with the Strategic Bid & Pricing Manager to maintain up-to-date vendor pricing.
  • Assist in creating internal workflows and training materials so that Sales, Project Management, and Support teams can smoothly execute and support projects involving external vendors.
  • Act as the primary point of contact for operational clinical study vendors, ensuring they meet agreed-upon timelines, quality standards, managing escalations and performance reviews.

You’ll definitely have:

  • 3+ years of experience in vendor management, account management, or business development within the SaaS, Life Sciences, or eClinical industry.
  • Working knowledge of the clinical research industry including the general roles of sponsors, CROs, and eClinical technology providers.
  • Familiarity with core eClinical systems like EDC, eCOA, eConsent, or related clinical trial technologies and services.
  • Strong operational and commercial acumen, with a practical understanding of process improvement, profit margins, and contract negotiation.
  • Detail-oriented organisation skills for tracking vendor quotes and assisting internal teams with cost estimates.
  • Excellent communication skills with the ability to collaborate effectively with external vendors and internal teams.
  • An empathetic and proactive approach to problem-solving.
  • Strong self-motivation and a passion for personal development.
  • The ability to develop and thrive in a hands-on, fast-paced, and dynamic startup culture.
  • Relevant understanding of clinical guidelines: ICH-GCP - Good Clinical Practice, FDA 21 CFR Part 11, and relevant GXP Regulations and Guidances.

It would be good if you had:

  • Experience working cross-functionally across both software (SaaS) and professional services delivery teams.
  • Experience maintaining a vendor matrix or partnership matrix across multiple service categories.
  • A passion for "practical AI" and other transformative technologies that reduce human burden in clinical trials.

How we invest in you:

High performance isn't sustainable without real support. We provide the infrastructure you need to stay healthy, focused, and rewarded.

  • Rest is non-negotiable: Unlimited annual leave with a 25-day minimum. We don’t just allow time off; we expect you to take it.
  • Downtime weeks: Once a quarter, the whole company shifts gears. No new shipping, just a week for deep focus, learning, or catching up so we can start the next quarter fresh.
  • AI-first culture: We provide the tools and training to ensure you’re spending your energy on high-value work, not manual repetition.
  • Real ownership: All Castor team members are offered options through our Employee Stock Option Plan (ESOP).
  • Comprehensive wellbeing: Free access to Open Up for mental health, specialised sleep courses (for you and your family), and a budget to make your home office a place you actually want to be.
  • Annual bonus: A guaranteed "Happy Holidays" bonus every December.

Belonging at Castor:

We build products to make research accessible to everyone, and we believe our team should reflect that same diversity. Our remote setup is designed to support you as a whole person—your family, your mental health, and your authentic self. We don't care about your background as much as we care about your perspective and your expertise. We strongly encourage applications from women, people of colour, and the LGBTQ+ community. Please feel free to share the pronouns you use (for example she/her/hers, he/her/his, they/them/theirs, etc.).
