Castlegate is seeking a Financial Services Administrator. This role will be instrumental in assisting the Financial Planner with the servicing demands of each client, as well as liaising with Paraplanners to ensure the servicing demands of our clients are met in an efficient, and timely manner. We are looking for people with a keen eye for detail and a strong work ethic, and the ability to work well with compliance and industry regulations.

Record keeping is vital to the role. So, our financial services administrators need to be diligent in keeping track of invoices, tax payments and reimbursements. You should be confident with the preparation of income statements, balance sheets and budgets.

At Castlegate, we are an experienced team of financial planners based in our main office here in Grantham, many of our financial planners have achieved chartered status, which is widely regarded as the top qualification that a financial planner can attain.

This means that our clients in Grantham not only have access to a local financial professional (for convenience), but also some of the best financial advice available in the UK. This does not detract from our personal service, however. Our team is commended for its friendliness, approachability and emphasis on building trusting relationships.

Responsibilities

  • Managing the Financial Planner’s diary by scheduling client appointments and internal meetings
  • Assisting the Financial Planner with the servicing demands of each client
  • Liaising with the Paraplanner to ensure the servicing demands of the client are met in a timely manner
  • Preparation of new business submission
  • Liaising with product providers and investment companies
  • Ensuring periodic client reviews are carried out in a timely manner
  • To act as a point of contact for clients and other offices
  • Keeping the clients informed of progress to manage client expectations
  • Ensuring outstanding fees and invoices are chased in a timely and organised fashion
  • Learning the financial services sector and products such as pensions, bonds, ISAs and protection
  • All routine administration, including scanning, filing, and telephone calls

  • Ability to prioritise tasks independently by assessing situations to determine urgency
  • Excellent listening skills and able to provide clear verbal and written communication
  • Computer literate and good typing skills
  • Previous knowledge or use of Microsoft Office products
  • Essential time management skills and attention to detail
  • Some knowledge of the FCA and record keeping requirements would be preferable
  • Basic knowledge of the financial services sector
  • Willingness to undertake qualifications if requested
  • Knowledge of the Intelliflo system desirable
