Job Purpose:
Our client is looking to appoint a Receptionist/Administrator on a part time basis to join their office in Inverness. The pattern of working hours is 3 full days (Mond, Tues, Wed 8:30am 5pm with an hour for lunch).
Reporting to the Office Manager, duties include:
- Working on the reception desk greeting visitors/clients.
- Operator of the main telephone switchboard and providing comprehensive administration support the team.
- Registering and distribution of all incoming/outgoing mail.
- Daily monitoring and end of day sign off of staff movements on temporary absence forms.
- Preparation of draft electronic Fee Proposals and processing of new project requests.
- Create electronic files in line with quality procedures.
- Process and issue Certificates.
- Participate in the issue of weekly invoice batch.
- Provide assistance in updating of Quality Assurance and Health & Safety documentation in line with compliance procedures.
- Copy typing/Filing/Scanning/Photocopying documents.
- Participation in electronic archiving of completed projects.
- Assist with any other additional administration duties as required.

- Experience of working within an administration role.
