We’re looking for a skilled and flexible, experienced Secretary & Administrator to support a charity in Scarborough. This ad-hoc role is ideal for someone with PA or Secretarial experience, particularly in supporting board or trustee meetings, who wants to work flexibly and make a positive impact on a local charity.

Key Administrative Duties:

  • Input monthly invoices onto an Excel spreadsheet, allocating each cost to the correct area or cost centre.
  • Maintain a clear, up to date spreadsheet record of all invoices and submit to the bookkeeper by the end of the first week of each month. This would take a couple of hours per month and can be completed flexibly in the evening if preferred. No accounts experience required, strong Excel and attention to detail are key.

Key Secretarial Duties:

  • Prepare and distribute meeting agendas (approved by trustees).
  • Handle attendance confirmations and follow up on required documents or project updates.
  • Attend meetings to take formal minutes (2.5 hours per meeting).
  • Type up and distribute minutes post-meeting.

Key Details:

  • Secretarial Hours: Roughly 10 hours per quarter, including one evening trustee/board meeting. 2.5 hours will be attending the meeting, then manage the remaining hours of quarterly work flexibly, before and after each meeting.
  • Meetings: You will need to attend 1 meeting per quarter plus an annual meeting – 5 meetings a year in total.
  • Administration Hours: Couple of hours the first week of each month.
  • Pay: £17.50 per hour.
  • Equipment: You will need your own laptop and must be available for all evening meetings.
