As we continue to grow our Maison, we are seeking a dedicated Logistics Assistant to support our expanding operations and ensure our pieces reach the world with precision and care.

In this role, you will play a key part in Logistics and Order Management , with responsibilities that include coordinating the dispatch and allocation of stock across both Retail and Wholesale channels.

The role:

Logistics & Order Management

  • Dispatch and allocate stock for both Retail and Wholesale channels.
  • Coordinate exports with transport partners, including customs clearance and documentation.
  • Liaise daily with 3PL partners to resolve order-related queries and maintain strong working relationships.
  • Prepare invoices and packing lists for local, EU, and international shipments in coordination with warehouse and suppliers.
  • Monitor and raise paperwork for proforma payments.
  • Issue credit notes and maintain import/export documentation, order and invoice confirmations.
  • Manage and regularly update the customer database master file.
  • Build and maintain relationships with key customers, understanding specific requirements and timelines to enhance service delivery.
  • Coordinate wholesale returns and ensure timely processing of inbound stock.
  • Support accurate stock management including stock receipts, returns, and discrepancy resolution.
  • Handle ad hoc requests from the department and management as needed.

Warehouse Coordination

  • Book in production deliveries promptly.
  • Monitor the production critical path in collaboration with Sales to plan stock allocations.
  • Coordinate inbound and outbound warehouse operations.
  • Reconcile stock levels between Odoo ERP and WMS systems.
  • Optimise workflow and ensure system efficiency.
  • Lead coordination of bi-annual stock take and ensure data alignment.

Customer Service

  • Respond to customer queries regarding shipments and tracking in a timely and professional manner.
  • Manage and resolve customer claims related to returns or repairs, including warehouse coordination when necessary.

  • Strong organisational skills with excellent attention to detail.
  • Proven problem-solving and numerical abilities.
  • Able to work independently and collaboratively across teams.
  • Proactive, resilient, and self-motivated with a positive attitude.
  • Excellent communication skills – both written and verbal.
  • Commercially aware, with an understanding of how decisions impact customer experience and business outcomes.
  • Comfortable working under pressure and meeting deadlines.
  • High accountability and ownership of responsibilities.
  • Proficient in Microsoft Office, especially Excel.
  • Experience with ERP and WMS systems is a plus.
  • Passion for delivering outstanding customer service.
