Administrative Assistant

1 x Full time & 1 Part time role available. Pay: From £13.44 per hour.

The purpose of the role is to facilitate the smooth running of the practice by working as part of our reception team and efficiently undertaking all required administrative tasks.

Offer a professional and friendly service to our patients in person or on the telephone.

Undertake additional clerical duties under the direction of the Senior Administrators.

  • Duty and Responsibilities
  • Explain practice procedures and arrangements to patients.
  • Book appointments and arrange clinics.
  • Process repeat prescriptions and sick line requests in line with practice protocol.
  • Signpost patients to the most appropriate type of appointment and help them to use our systems effectively.
  • Book interpreters.
  • Cover lunch hour for emergencies.
  • Handle general enquiries and pass on more complex queries to appropriate parties.
  • Take messages.
  • Maintain accurate records and data entry.
  • Register patients.
  • Process incoming and outgoing patient charts.
  • Pass on results to patients.
  • Scan all post onto patient records.
  • Make phone calls to hospitals and pharmacies.
  • File and photocopy.
  • Process incoming and outgoing forms and requests for medical information.
  • Ensure adequate supplies of prescriptions, sick lines and forms.
  • Accept payments for non‑NHS services.
  • Attend office meetings and practice training.
  • Keep abreast of changing practice protocols and procedures.
  • Open up/lock up premises and maintain security.
  • Perform general housekeeping duties.
  • Personal Attributes Required

  • Ability to work independently and use own initiative.
  • Discretion and respect for patient confidentiality.

Whilst undertaking the duties outlined above the post-holder will have access to highly confidential information of a sensitive nature regarding patients' health and wellbeing.
