The Asset Management Assistant plays a key role in supporting the organisation’s device lifecycle processes. This position focuses on receiving and processing returned laptops, ensuring accurate asset records, and maintaining up‑to‑date information in tracking spreadsheets and inventory systems. The role requires excellent attention to detail, strong organisational skills, and the ability to follow established procedures consistently.
PRINCIPAL ACCOUNTABILITIES- Asset Processing & Handling
- Receive, log, and inspect returned laptops and accessories.
- Verify device condition, functionality, and completeness (e.g., chargers, bags, peripherals).
- Record serial numbers, asset tags, and device specifications.
- Perform basic device preparation tasks such as powering on devices, resetting to factory settings, or flagging items that require technical assessment or repair.
- Identify items suitable for redeployment, repair, recycling, or disposal.
- Data Entry & Reporting
- Update asset registers, inventory spreadsheets, and tracking logs with accurate and timely information.
- Maintain clear records of device status, location, user assignment history, and disposal or redeployment actions.
- Produce weekly or monthly reports summarising returned equipment, device stock levels, and outstanding actions.
- Support audits by ensuring data accuracy and completeness.
- Process & Compliance
- Follow IT asset management procedures and ensure compliance with organisational policies.
- Assist in refining and improving asset intake workflows to increase efficiency.
- Ensure all data is handled in line with GDPR and information security requirements.
- Collaborate with IT technicians, service desk staff, and procurement teams as needed.
