The Purchasing & Compliance Co-Ordinator supports the day-to-day purchasing and compliance activities of the business, ensuring the timely procurement of goods and services while maintaining accurate purchasing records and supplier information. The role works closely with suppliers, internal stakeholders, and warehouse teams to ensure operational requirements are met while supporting compliance with company policies and procedures.
Role Responsibilities
- Raise purchase orders and purchase requisitions through the company ERP system (SAP) in accordance with company purchasing procedures and approval processes.
- Monitor, update, and maintain supplier shipping schedules, expected delivery dates, and order status.
- Liaise with suppliers, factories, warehouse teams, and internal departments regarding pricing, lead times, deliveries, and goods receipt requirements.
- Support spare parts purchasing activities by reviewing stock shortages, demand forecasts, and replenishment requirements.
- Maintain accurate purchasing records, supplier information, pricing data, item master records, and related documentation.
- Follow up on delayed or urgent orders and escalate supply risks where appropriate.
- Support indirect purchasing requirements, including site maintenance, PPE, consumables, and operational supplies.
- Assist with invoice reconciliation, purchase order queries, and delivery discrepancies.
- Ensure purchasing activities comply with company policies, procedures, and applicable compliance requirements.
- Prepare purchasing reports, maintain trackers, and support continuous improvement initiatives.
- Perform other duties as assigned.
Minimum Requirements
- Previous experience in a purchasing, procurement, supply chain, or administrative support role.
- Experience using ERP systems, preferably SAP.
- Strong attention to detail and accuracy.
- Good numerical skills with confidence working with purchasing data and reporting.
- Strong Microsoft Excel skills.
- Excellent written and verbal communication skills.
- Ability to prioritise workload and manage multiple deadlines.
- Good IT literacy, including Microsoft Office applications.
- Ability to work independently and collaboratively within a team.
Preferred Qualifications
- Experience within a manufacturing, engineering, or distribution environment.
- Knowledge of procurement, inventory management, and supplier management processes.
