Your Mission:
You’ll work directly with our CEO and leadership team to keep the business running smoothly and moving quickly. As the CEO’s right hand, you’ll bring structure, clarity and momentum to how we operate — helping prepare key materials, sharpening how decisions get made and ensuring the company stays aligned around the most important priorities. You’ll help coordinate the rhythm of the business, making sure meetings are well run, information flows cleanly and follow-through happens. Working closely with teams across Carmoola, you’ll spot issues early, surface the right context, and keep the organisation focused and moving in the right direction. This is a high-impact role for someone who thrives in fast-paced environments, enjoys problem-solving and can bring order, insight and calm to a scaling team.
What You’ll Be Doing:
- Operations & Execution: Coordinate Carmoola’s quarterly and semi-annual business planning cycles, ensuring strong preparation, structure and alignment across the leadership team. Shape and run leadership team meetings so they’re efficient, well-prepared and action-driven. Keep the leadership team operating smoothly by managing the flow of information, setting agendas and providing the context needed for effective decisions. Track actions and follow-through to ensure momentum across teams. Work across functions to unblock issues and support smooth day-to-day operations.
- Strategic Support & Reporting: Prepare board packs, CEO reports, shareholder updates and pitch decks. Draft business cases and strategic papers for key initiatives. Support and coordinate cross-functional work that helps scale the business. Conduct data analysis and market research to support strategic decisions.
- People & Culture: Support recruitment and onboarding to ensure a seamless experience for new joiners. Organise quarterly events for the team. Conduct quarterly engagement surveys, sharing feedback with the leadership team and organising team awards. Ensure quality and high standards are maintained across the business.
What You’ll Bring:
- 5 years+ experience in a fast-growing startup or high-performance environment.
- Exceptionally organised; able to manage multiple workstreams in a fast-moving environment.
- A clear, concise communicator who can simplify complex topics and bring people along with you.
- Strong judgement and the ability to navigate sensitive conversations with maturity and tact.
- Skilled at working across different teams, understanding their perspectives and helping align them around shared priorities.
- Able to influence outcomes through clarity, preparation and strong relationships.
