Carmel Medical Practice is looking for an enthusiastic Medical Secretary/Administrator to join our friendly, busy team. The vacancy is for part time hours working Monday, Thursday and Friday. The role requires an enthusiastic, flexible individual who can work well under pressure undertaking a variety of tasks. Whilst the role can be challenging at times it is also very rewarding, and you will be an integral part of the administration team. You will need to be able to demonstrate the use of your own initiative in this busy environment. The ideal applicants will have previous experience of working as a Medical Secretary/Administrator in a GP surgery and knowledge of System One, but this is not essential.

Main duties of the job:

  • Use SystmOne clinical system
  • Undertake patient referrals following the appropriate referral pathway using the electronic referral system (ESR)
  • Checking secretarial workflow
  • Completing and monitoring referral spreadsheets including the 2 week wait referrals
  • Booking patient's appointments as necessary
  • Dealing with medical record requests
  • Processing requests for information i.e. SAR, Insurance/Solicitors letters and DVLA forms
  • Photocopy documentation as required
  • Scanning of patient related documentation and attaching scanned documents to patient's healthcare record
  • Clinical read coding
  • Monitoring the e-mails and responding appropriately
  • Liaising with internal and external health care professionals
  • Issuing patient information via AccuRx, Text, E-mail or postal invitations
  • Recalling patients for reviews
  • Monitoring and actioning internal tasks and e-mail
  • Various administration duties to assist in the smooth running of the practice

About us:

Carmel Medical Practice has over 11500 patients registered, in a modern purpose-built building. Our team comprises of 4 GP Partners, 2 Nurse Practitioners, 3 Practice Nurses, 2 HCA's and Nursing Associate as well as an established Management and Admin team. We also have a Clinical Pharmacist and Pharmacy Technician.

Job responsibilities:

The post holder(s) will work as part of an administrative team to provide a comprehensive secretarial / administration service to the Practice population as defined in the principal responsibilities of the post.

Person Specification:

  • Qualifications: GCSE at grade 4 (or equivalent) or above including Maths and English
  • NVQ Business Administration or Medical Secretary NVC Level 3 or equivalent
  • Recognized Microsoft Office Qualification (e.g. ECDL) or relevant experience

Experience:

  • Experience of working in a medical secretary role within primary or secondary care.
  • Experience of Information Governance and confidentiality protocols
  • Experience working in a general practice administrative role.
  • Previous clinical document management and clinical coding experience in a general practice setting.

Disclosure and Barring Service Check:

This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.

Depending on experience: £12.75 to £13.60 depending on experience.
