Role Overview
The Post Room Supervisor will oversee the secure and efficient handling of all mail and parcels, ensuring timely delivery and adherence to standard procedures. This will involve supervising and supporting the post room team, managing security screening, and responding to any suspicious items. The role also involves maintaining accurate records and coordinating with various departments and organisations across the estate to ensure smooth and efficient operations.

This role will commence before the Post Room goes live so your knowledge and experience will be instrumental in the set-up stage, helping to ensure we create an efficient, and effective Post Room operation. Your Core Responsibilities Will Include
- Operational Oversight & Workflow Management
- Lead the day-to-day operations of the estate’s post room, ensuring the secure, efficient, and timely handling of all incoming and outgoing mail, parcels, and courier deliveries.
- Allocate tasks and supervise a team of post room operatives, ensuring adherence to SOPs.
- Coordinate delivery schedules with tenants, estate departments, and external couriers to minimise disruption and ensure service continuity.
- Security Screening & Threat Detection
- Oversee the operation of all mail screening technologies, including x-ray machines.
- Ensure all incoming items are screened in accordance with estate security protocols and NaCTSO guidance for mail handling.
- Respond to suspicious packages or screening anomalies by initiating lockdown procedures, evacuations, or escalation to the Control Room and emergency services.
- Compliance & Risk Management
- Maintain secure custody of sensitive or high-value items, including legal documents, confidential materials, and controlled deliveries.
- Team Leadership & Training
- Supervise, mentor, and support post room staff, ensuring professional conduct, accuracy, and vigilance.
- Deliver or coordinate training on:
- Mail screening procedures
- Suspicious package identification
- Emergency response protocols
- Use of x-ray and detection equipment
- Conduct performance reviews and support staff development.
- Technology & Equipment Oversight
- Ensure all screening and handling equipment is operational, calibrated, and maintained.
- Report faults or maintenance needs to the Control Room Supervisor or Technical Support Team.
- Maintain logs of equipment checks, screening results, and maintenance records.
- Documentation & Reporting
- Maintain accurate records of all inbound and outbound items, including timestamps, recipient details, and screening status.
- Produce incident reports, screening logs, and audit trails for internal and external review.
- Support investigations or audits by providing documentation and procedural evidence.
- Interdepartmental Coordination
- Liaise with estate departments (e.g., hotel, school, office tenants, event teams) to coordinate secure deliveries and collections.
- Manage access permissions for delivery personnel and ensure compliance with estate access control policies.
- Emergency Preparedness
- Act as the designated lead for post room emergencies, including suspicious package response, fire alarms, or evacuation scenarios.
- Ensure all team members are trained in emergency procedures and participate in regular drills.
Skills & Experience
- Able to successfully motivate and lead a team in a fast-paced mixed-use environment.
- SIA Door Supervision licence holder – desirable but non-essential.
- 5 years checkable work and address history.
- Experienced in customer-facing roles and busy working environments.
- Supervisory experience within a post room setting.
- A team player, flexible and supportive, putting team goals first.
- Effective people skills, able to interact with colleagues, customers, and members of the public in a positive and professional manner.
