At Caring Homes, our mission is simple: to make each home the best possible place to live and work for our residents and our teams. We strive to create an environment that feels like home, whether we live there or work there, through our behaviour and the environment we create – and this includes our support team. We’re a family.

We are looking for a highly organised and proactive Property Services & Facilities Administrator to join our team. This is a varied and fast-paced role that plays a key part in supporting the smooth day-to-day running of our support office and property services function.

You will act as the first point of contact for queries, coordinate maintenance requests and contractor visits, and provide essential administrative and reception support. The role also supports our care homes by helping to ensure maintenance issues are managed efficiently, contributing to a safe and comfortable environment for residents and staff.

  • A supportive and inclusive work environment.
  • Free DBS & Blue Light Card
  • Free parking
  • Employee assistance program for personal and professional support.

Responsibilities

  • Act as the first point of contact for the support office and Property Services team, handling incoming calls and directing queries appropriately
  • Process property and maintenance service requests and arrange contractor attendance
  • Raise and manage Purchase Orders (POs) for contractors and suppliers, ensuring accurate tracking and coding
  • Support facilities management queries and assist with invoice processing through the Ebis system
  • Provide general administrative and clerical support, including preparing documents, emails, reports and meeting minutes
  • Manage reception duties, welcoming visitors and ensuring a professional and positive first impression
  • Maintain visitor records and coordinate visitor parking arrangements
  • Keep reception and entrance areas tidy and presentable
  • Coordinate hotel and travel bookings for staff
  • Order lunches and refreshments for meetings, training sessions and events
  • Manage stationery and office supply orders
  • Coordinate incoming and outgoing mail and parcel deliveries
  • Liaise with contractors, chase outstanding works and place orders where required
  • Support the wider team with ad-hoc administrative duties

Ideal Candidate

  • A strong team player with a positive attitude
  • Professional, approachable and customer-focused
  • Resilient and able to work independently when required
  • Eager to learn and develop practical knowledge within property services
  • Willing to visit homes to build understanding of operational property needs

If you are passionate about making a difference and want to be part of a family that values empathy, dedication, and professionalism, we would love to hear from you.
