About the Role
CareTutor is the UK’s leading EdTech provider of interactive, video-based eLearning for the Social Care sector. We’re on a mission to support the UK’s care workforce through smarter, simpler, accredited training. The company has recently launched a new Enterprise grade eLearning platform called Pathway, and we’re growing fast with over 1 million CPD-Accredited Certifications.
We are looking for a highly organised, practical, and reliable Operations & Executive Assistant to act as the Founder’s right-hand support and help keep the business running smoothly day to day. This is an office-based, hands-on role focused on business operations, reporting, task coordination, and finance administration. You will play a key role in ensuring work gets done, information is accurate, and priorities are followed through. This is not a traditional PA role and not a strategy or graduate “Founder’s Associate” role. It is an execution-focused role for someone who enjoys structure, ownership, and accountability.
Key Responsibilities
- Executive & Business Operations Support
- Act as day-to-day operational support to the Founder
- Track actions from meetings and ensure follow-up and completion
- Prepare weekly updates, summaries, and operational reports
- Help prioritise tasks and manage deadlines across the business
- Task & Team Coordination
- Track tasks and actions across teams and systems
- Chase progress and completion where required
- Highlight overdue actions, risks, and blockers
- Support consistency and accountability across the team
- Reporting & Data Management
- Maintain and update Excel-based trackers and reports
- Prepare regular management information (KPIs, activity, revenue)
- Reconcile information across systems (CRM, LMS, finance tools)
- Ensure data accuracy and clarity
- Finance & Admin Support
- Support invoicing, tracking, and basic finance admin using Xero
- Maintain contract, revenue, and invoice trackers in Excel
- Monitor overdue invoices and support follow-up
- Prepare information for accountants and internal review
- Office & General Administration
- Keep operational documents, trackers, and folders organised
- Support onboarding and offboarding administration
- Improve simple processes, templates, and workflows
- Act as a central point of coordination within the office

Skills & Experience
- Essential
- Strong organisational and time-management skills
- Confident Excel user (formulas, lookups, trackers)
- Experience with business admin or operations support
- Comfortable chasing tasks and holding people accountable
- High attention to detail and follow-through
- Professional, discreet, and trustworthy
- Desirable
- Experience using Xero or similar accounting software
- Experience in a small business, SaaS, or training environment
- Exposure to reporting, dashboards, or management information
