Coordinator Award & Talent Relations

Location: London (Hybrid)

Hours: 9am-6pm

Job Description:
This role will support the EMEA Awards team during the peak of the film awards season assisting the UK campaigning and Awards Marketing functions, including the logistical planning of screening events, voter engagement activities, and creative marketing & production tasks.

UK campaigning :

  • Day to day admin support including raising POs, updating budgets, scheduling meetings
  • Update schedules, film timelines and other key awards documents as required
  • Book DCPs, input calendar invites for scheduled events
  • Book screening venues and liaise with venues on event details
  • Support on all logistical aspects of screenings, sharing information internally with key partners
  • Support on guestlist management across screenings and events
  • Staffing as needed at in-person and virtual events
  • Update resource directories (event checklists, run of show documents) and circulate among relevant internal team members
  • Assign screeners to external partners as needed
  • Prepare screening reports post-events
  • Assist with scanning and collating key press coverage

Marketing:

  • Manage the printing and courier logistics of mounted 1-sheets for screenings
  • Provide materials for relevant screenings and agencies. e.g. artwork, trailers, stills & press notes
  • Assist in creating and updating master briefing grid with external creative agencies, ensuring accuracy
  • Communicate creative scope and detailed requirements to agencies
  • Provide layered source files to agencies on time
  • Coordinate with UCAN awards marketing to receive the latest assets and direction
  • Liaise with UCAN awards marketing title leads for creative feedback and approvals
  • Update key UK Awards Marketing internal documents such as the creative deck and media planning master grid
  • Assist in managing and tracking productions to meet delivery deadlines

The successful candidate will have:

  • 3 + years’ experience in the film/entertainment industry with an agency, studio, broadcaster or film/TV organisation working across publicity and marketing campaigns and/or events.
  • An interest in and knowledge of the awards landscape is preferable.
  • Ability to manage multiple projects simultaneously and to effectively prioritize.
  • Highly organized, detail oriented with excellent communication skills.
  • Responsiveness with a bias towards action and a sense of urgency.
  • Fast and keen learner with an ability to grasp new skills quickly.
