My client, a leading London law firm, is looking for an experienced Receptionist to join their team.
Key responsibilities:
- Provide a high level of client care, demonstrating professionalism and attention to detail at all times.
- Greet all visitors in a professional and friendly manner.
- Deal with all clients, either in person or via the telephone, in a courteous and highly professional manner.
- Adhere to agreed standards and procedures for all tasks undertaken.
- Follow appropriate procedures when allowing visitors to gain access to the premises, recording names on arrival and distributing security passes as necessary.
- Maintain accurate records thereof.
- Work as a team with other receptionists, providing cover at this desk from time to time and during unplanned absence.
- Make conference room bookings in accordance with instructions provided using appropriate meeting room software.
- Book taxis and couriers and ensure adequate records are kept.
- Receive post and deliveries, distributing as required and keeping up to date records.
- Maintain a pool of various IT equipment for members of staff and keep accurate records.
- Ensure reception areas and conference rooms are kept tidy and in good working order to the required standard, including room setup, provision and removal of catering and IT supplies.
- Assist with diary management and allocation of rooms for meetings and events, ensuring all rooms are presentable in advance of each meeting, refreshments are provided, and that there are sufficient stocks of stationery, crockery, and glasses.
- Assist with the setup of telephone and video conferencing.
- Assist with the arrangement of catering for meetings and events as requested.
- Liaise with the Office Manager and finance team regarding administrative duties, invoices, etc.
- Liaise with suppliers of catering equipment and facilities, maintaining adequate supplies and reporting any malfunctions.
- Liaise with the landlord regarding maintenance and security requirements.
- Deal with client requests for copying, scanning, etc., promptly and in accordance with instructions provided.
- Answer incoming switchboard calls in a professional manner.
- Carry out various 'Facilities' duties as and when required.
- Report to Client Services Manager.
