Personal Assistant & Operations Coordinator
We’re looking for a confident, organised and proactive Personal Assistant & Operations Coordinator to support the Global Head of Facilities & Logistics and Facilities within a highly regarded international law firm.
This is a fast‑paced, varied role that would suit someone who thrives on organisation, enjoys problem‑solving, and takes pride in delivering exceptional support. You’ll be a key link between teams across global offices, managing complex schedules, coordinating projects, and ensuring the smooth running of operations.
What you’ll be doing:
- Managing complex diaries and coordinating meetings across time zones
- Organising international travel and supporting global conferences
- Processing invoices and expenses, tracking large‑scale project spend
- Preparing PowerPoint decks, Excel reports and polished client documents
- Coordinating insurance renewals, company car admin, and travel logistics
- Keeping facilities systems, intranet pages and documentation up to date
What we’re looking for:
- Strong PA/administrative background, ideally within legal or professional services
- Excellent communication skills and attention to detail
- Advanced Microsoft Office skills (Word, PowerPoint, Excel)
- Confident, self‑motivated and calm under pressure
- A genuine team player who enjoys variety and takes initiative
