We’re working with a leading international law firm that is looking to appoint an experienced Legal PA on a 12-month fixed-term contract to cover maternity leave.
This is a busy, varied role suited to a proactive Legal PA who enjoys being an integral part of a team and providing high-quality, hands-on support to Partners and fee earners. The successful candidate will be highly organised, confident using initiative, and comfortable working in a fast-paced, ever-changing environment.
The Legal PA will work closely with Partners, fee earners, clients, and wider support teams to ensure the smooth running of day-to-day activity and allow fee earners to focus on delivering legal services.
The Role
- Diary, inbox and stakeholder management
- Proactive management of Partner and fee earner diaries, anticipating clashes and resolving issues
- Coordinating internal and external meetings, including rooms, VC facilities, travel, catering and attendees
- Managing inboxes when fee earners are unavailable, prioritising correspondence and filing into iManage
- Handling calls and queries professionally and acting as a key point of contact
- Organising domestic and international travel, expenses and itineraries
- Coordinating client entertainment and small-scale events, with occasional on-site support
- Document production, billing and business development
- Liaising with Document Production to manage complex documents and presentations
- Drafting and proofreading correspondence and documents via dictation where required
- Preparing meeting papers, agendas and presentations
- Supporting the end-to-end billing process and liaising with finance teams
- Maintaining fee earner CVs and supporting BD activity, pitches and capability statements
- Producing engrossed documents and managing large or complex document packs
- Administrative and operational support
- File opening, conflicts and compliance processes
- Expense claims, invoices and membership payments
- Document management, archiving and file closure
- CRM support and contact management
- Supporting knowledge, training and internal events
- Assisting with client extranets, research, deed management and deal databases
In addition, this role contributes to the smooth day-to-day running of the office, working closely with facilities, IT, HR and other support functions where required.
Skills & Experience Required
- Proven Legal PA experience (Real Estate experience beneficial but not essential)
- Strong organisational skills with the ability to manage multiple priorities calmly
- Confident communicator with a professional, approachable manner
- Proactive, solutions-focused and comfortable taking ownership
- Strong IT skills across Microsoft Office and legal systems
- High attention to detail and commitment to quality
- Ability to maintain confidentiality and exercise sound judgement
- Team-oriented, adaptable and commercially aware
