Our client is an international law firm with a diversified business practice. The firm is one of the largest grossing law firms in the US and globally and its lawyers represent a wide range of commercial, industrial, and financial enterprises, both publicly and privately held. They are now looking to recruit a Billing & Revenue Administrator.

Responsibilities

  • Meet with Partners at start of each month to ascertain levels of billing, prepare summary and update for actual throughout the month.
  • Monitor and maintain a record of reasons for unbilled WIP.
  • Interpretation and analysis of negative trends in WIP that require remedial action.
  • Maintain schedule of charge rates and update any changes advised.
  • Check to ensure all charge rates being correctly applied on billing system.
  • Liaise with Partners re letters to clients advising any changes in rates.
  • Handle all time recording queries.
  • Preparation of pre-bills and distribute to Partners.
  • Engrossment and processing of finalised invoices.
  • Check VAT requirements are correct on all invoices before finalising.
  • Checking and follow up that all finalised invoices are sent to clients by Partners before month end.
  • E-Billing including onboarding clients to the e-billing platform and prompt eBills upload (BillBlast).
  • Ensure MWE policies on approval for write-offs are adhered to.
  • Handle billing related queries, amendments, transfers and write offs.
  • Prepare statements and send to clients month.
  • Credit Control – following up all invoices over 30 days old.
  • Meet and liaise with Partners re outstanding A/R.
  • Liaise directly with clients regarding outstanding AR.
  • Maintain A/R notes on database.
  • Client audits, bankruptcy and debt collection proceedings.

Candidate Profile

  • Minimum of 2 to 3 years’ experience gained within the same legal firm (essential).
  • Strong IT skills, with exposure to Excel, Aderant (essential) and Aderant Expert Billing & Collections.
  • Experience using web-based eBilling systems and vendors preferable.
  • Excellent interpersonal skills, with the ability to build strong working relationships at all levels, tactful and diplomatic in pressurised situations.
