Our prestigious client, a leading law firm in central London, is seeking a highly motivated and proactive Deputy General Facilities Supervisor to join their growing team. In this pivotal role, you will manage a variety of key office operations while supervising the General Office Assistant in the absence of the Supervisor. As a hands-on position, this role requires a dedicated presence in the office Monday through Friday.
The ideal candidate will have a proven track record in a similar role, preferably within a legal environment. You will be exceptionally well-organised, possess strong administrative experience, and be highly computer literate. With a keen understanding of shifting priorities and tight deadlines, you will approach every challenge with both practical insight and common sense.
Duties will include:
- Efficiently manage all incoming and outgoing mail, including coordinating couriers
- Ensure the smooth operation of the franking machine, quickly resolving any issues that arise
- Handle reprographics duties, including copying, scanning, and binding documents with precision
- Report maintenance issues promptly to the appropriate teams, ensuring swift resolution
- Conduct stock checks and place orders for office supplies, ensuring materials are always replenished as needed
- Assist with the setup and onboarding of new starters, ensuring a seamless transition
- Accurately review and verify incoming invoices, addressing discrepancies immediately
- Prepare and reset meeting rooms as requested, working closely with reception and hospitality teams
- Move office furniture and large/heavy items when necessary, demonstrating flexibility and teamwork
- Supervise the General Office Assistant during the Supervisor’s absence, providing leadership and guidance
- Coordinate staff rotas and lunch schedules to maintain adequate coverage at all times
- Provide archiving support as required, maintaining an organised and efficient filing system
