A well-established London-based law firm is currently recruiting a Deputy General Office Supervisor to support the General Office Supervisor and ensure the smooth day-to-day operation of the General Office, particularly when the Supervisor is out of the office. The successful candidate will be highly organised, client-focused, and have prior experience in a similar role. You will be confident working independently, able to make decisions, and adaptable to the changing demands of a busy professional services environment.
Key Responsibilities
- Ensure all incoming and outgoing mail and courier deliveries are processed in line with agreed service standards
- Provide reprographics support, working as part of a team to print, copy, scan and bind documents
- Liaise with the maintenance provider, reporting issues and ensuring timely resolution
- Conduct regular stock checks and place orders as required
- Induct new joiners into General Office processes and procedures
- Check invoices for accuracy against quotes and contract prices, ensuring correct coding prior to approval
- Maintain accurate records and ensure monthly KPI reports are completed and submitted on time
- Set up and reconfigure meeting rooms as requested
- Undertake porter duties, including moving furniture and other large or heavy items
- Supervise the General Office Assistant in the absence of the General Office Supervisor
- Coordinate rotas and lunch cover to ensure sufficient staffing at all times
- Maintain high service standards across all General Office functions
- Manage on-site and off-site archiving and matter closing services when the Records Assistant is absent
