Location: Swinton. Hours: 15 hours per week (on-site, 2 days per week). Salary: £11,200 per annum (£28,000 full-time equivalent / £14.35 per hour).

The Opportunity: Our client, a values-led organisation based in Swinton, is seeking an Operations Officer to support the smooth running of their office, facilities and people operations. This is a varied and hands-on role, ideal for an experienced administrator who enjoys being at the heart of an organisation. You’ll act as a key point of contact for staff, support health & safety and facilities management, and provide HR and governance administration to support the senior leadership team.

Responsibilities

  • Operations, Facilities & Health & Safety: Manage office operations and facilities, ensuring a safe, compliant and well-maintained working environment. Coordinate building contracts, renewals and maintenance. Carry out regular health & safety checks, fire alarm testing, and maintain accurate records. Manage building faults and liaise with contractors and service providers.
  • HR & Governance Support: Provide HR administrative support including absence, sickness, disciplinary and grievance reporting. Maintain HR data and reporting, including employee satisfaction metrics. Act as a first point of contact for staff queries, handling matters professionally and confidentially. Support the review, update and communication of organisational policies and procedures.
  • Recruitment, Training & Administration Support: Support recruitment administration, including managing adverts, applications and interview logistics. Research and organise staff training including mandatory annual training. Provide general office administration including minute-taking and event support. Organise staff travel and accommodation when required.

About You

Essential Experience & Skills: Experience in an administrative, office or business support role (ideally within a charity, public sector, or values-led organisation). Knowledge of health & safety requirements and experience supporting workplace compliance. Experience coordinating suppliers, contractors, or service providers. Experience providing HR administrative support and maintaining confidential records. Strong organisational skills with the ability to manage multiple priorities independently. Confident using Microsoft Office (Word, Excel, Outlook, PowerPoint). Excellent communication, attention to detail and record-keeping skills.

Desirable Experience: Acting as a first point of contact for staff. Experience supporting recruitment administration and staff training. Experience supporting events, conferences, or large meetings. Experience organising staff travel and accommodation. Knowledge of SharePoint or similar systems. Mental Health First Aid qualification or interest in completing training.

Qualifications & Requirements:

Essential: Educated to A Level or equivalent. Minimum of 3 years’ relevant experience in a similar busy role. Willingness to learn and develop skills in health & safety, facilities, and office management. Ability to handle confidential and sensitive information appropriately. Reliable, organised, and able to work independently. Willingness to work on-site in Swinton for the agreed two days per week.

Desirable: Qualification or training in administration, business support, or office management; Health & Safety training (e.g. IOSH) or willingness to complete training; Training or experience in HR administration or people support; Mental Health First Aid qualification or interest in completing training.
