Role Overview: Senior Medical Secretary in the obstetric and maternity department, supporting clinical teams Monday to Friday.

Key Responsibilities:

  • Provide clerical and secretarial support to consultant obstetricians and junior doctors, including typing and distributing patient communications.
  • Take minutes and manage diary; answer telephone queries.
  • Maintain waiting lists and book appointments.
  • Receive, sort, and prioritise daily correspondence; forward clinical reports/requests to the relevant clinician.
  • Receive and act on telephone calls and face‑to‑face enquiries from patients, relatives, and staff, providing advice and information promptly and professionally.
  • Accurately maintain waiting lists, add/discharge referrals, book appointments and restructure clinics for services such as post‑natal, birth reflections and pre‑pregnancy counselling.
  • Track all medical records and X‑rays to/from the department and ensure orderly storage.
  • Use (or learn) the in‑house Patient Administration System and other hospital IT systems, ensuring data integrity according to Trust standards.
  • Work closely with senior colleagues and cover for colleagues in times of absence or annual leave.
  • Undertake general administrative duties such as photocopying, filing, and monitoring stationary supplies.
  • Support and assist junior team members, including training new starters and undertaking further development as required.

Qualifications and Skills:

  • Good keyboard skills.
  • Working knowledge of NHS IT systems is desirable but full training will be provided.
  • Excellent communication and organisational skills.
  • Adaptability, initiative, sense of teamwork, and ability to work independently as required.
  • Good judgement and sensitivity when acting as a contact point between patients, medical and nursing staff, and external organisations.

Working Hours and Schedule:

This is a substantive, full‑time position: 37.5 hours per week (Mon – Fri). It is open to discussion of reduced hours or non‑standard schedules if requested.
