The Operations Manager is responsible for the non-clinical day to day running of the office and support to the Practice Business Manager.

  • Deputise for the Practice Business Manager when absent.
  • Provide administrative support to the Practice Business Manager as required.
  • Dealing with patients, and contacts within the NHS and other practices, both in person and on the telephone.
  • Have an understanding of HR Law and assist the Practice Business Manager with any issues including staff recruitment, one to ones, appraisals, disciplinaries etc.
  • Provide minutes of practice meetings.
  • Co-ordinate staff meetings (agendas/minutes) for Clinical & administrative staff.
  • Undertake any other duties as agreed with the Practice Business Manager.
  • Support the Practice Business Manager with the development, implementation, and maintenance of office policies and procedures.
  • Induction and training of surgery staff, medical students and Postgraduate placements.
  • Requesting of references for new staff/locums/salaried GPs at the practice.
  • Maintaining all staff are DBS Checked.
  • Staff Management and wellbeing.
  • Organising of staff holidays and sickness.
  • Overseeing the staff rota is up to date.
  • Maintains and manages all filing and organisational systems for the practice.
  • Ensures patient satisfaction, including troubleshooting when there is a complaint and developing process improvements to prevent recurrences.
  • Take an active role in the complaints team.
  • Ensures regulatory compliance with all aspects of Employment Law, and all other statutory regulations.
  • Co-ordinate logistics for internal and external training.
  • Ensures staffing is appropriate for day-to-day operations.
  • Supporting the practice prepare for CQC inspections.
  • Attend Patient Participation Group (PPG) meetings and correspond with the group periodically.
  • Assists in special projects and supports the Practice Business Manager in areas of quality improvement in line with ICB requirements.
  • Ensure all mandatory training is completed by all staff and certificates and TNA kept updated.
  • To understand the EMIS clinical and Docman systems.
  • Understanding of Surgery Connect telephone system.
  • Any needs of the practice going forward.
  • To assist the Practice Business Manager in the day-to-day operational management of the Practice to deliver high quality care to the patient population and ensure the smooth running of the Practice.
  • To manage and support the reception, secretarial and administration teams, taking a role in reviewing performance, training and recruitment.
