Key Responsibilities
- People Management
- Line manage the Office Manager, Senior Administrator, and admin team
- Conduct regular one to ones, appraisals, and performance reviews
- Manage staff rotas, leave, and absence, ensuring appropriate cover at all times
- Support recruitment, induction, and training of administrative staff
- Foster a positive, professional, and inclusive team culture
- Operational Management
- Oversee all day to day operational functions of the practice
- Ensure practice systems, workflows, and processes are efficient and consistently followed
- Act as the primary point of escalation for operational issues and patient concerns
- Manage premises, equipment, and supplies, liaising with relevant finance as required
- Monitor and manage appointment capacity and patient access with the reception supervisor and the office manager in line with practice targets
- Support the Business Manager with claims, reporting, data returns, and contract compliance
- Compliance & Quality
- Ensure the practice operates in line with CQC requirements and primary care regulations
- Support the preparation and management of CQC inspections and audits
- Oversee significant event reporting and learning, escalating where necessary
- Systems & Administration
- Maintain working knowledge of EMIS and Docman, supporting staff with system queries
- Oversee the management of clinical tasks, correspondence, and document workflows
- Ensure accurate and timely processing of referrals, results, and patient communications
- Identify opportunities to improve system usage and administrative efficiency
- Communication & Liaison
- Serve as a key point of contact for clinicians regarding operational and administrative matters
- Build effective working relationships with the ICB, PCN, and external stakeholders
- Represent the practice professionally in meetings and communications
