Role Purpose and Main Duties

The Assistant Workplace Manager is a pivotal position within the Workplace Service Delivery Team, supporting the Workplace Management and acting as the face of Workplace Services. The role is based permanently at the GPA Manchester Hub, Monday to Friday unless otherwise instructed.

Responsibilities

  • Track the performance of workplace service regional supply chain partners and subcontracted delivery using GPA’s digital CAFM and reporting systems (e.g., Planon, Power BI and Salesforce).
  • Resolve customer issues and complaints logged via the Salesforce CRM system or GPA Helpdesk, escalating as necessary to the nominated workplace manager and wider GPA directorates.
  • Oversee the delivery of low‑value resource projects and provide information to support lifecycle replacement and net‑zero capital projects.
  • Manage supplier partners to ensure service delivery standards and performance meet contractual and compliance targets.
  • Support senior management by monitoring supplier performance with GPA digital reporting tools, capturing and resolving customer issues, and managing supplier self‑audits and action logs.
  • Participate in GPA Tier 1 governance meetings with suppliers, track progress and escalating emerging operational risks to senior management.
  • Assist with the management of all contract variations, risk notices and contract notices using GPA data systems (Planon) and maintain relevant registers.
  • Maintain group email accounts and support team performance by managing action logs, audit preparation and tracking progress against agreed deadlines.
  • Assist with financial approvals and billable works cost‑file submissions to ensure contractual payment requirements are fully met.
  • Work with senior management teams to develop and improve working practices and systems, and participate in any reasonable ad‑hoc requests.
  • Collaborate with internal and external interfaces (e.g., landlord services, security, IT, safety, sustainability teams) to ensure contractual and statutory compliance and customer satisfaction targets.
  • Provide support to Workplace Services Projects team for Government Soft Landings (GSL) initiatives.
