As the Administrative Services Lead within the Manchester Community Care Group, you will champion leadership, performance management, Information Governance, and operational excellence.

Key Responsibilities

  • Lead and manage our administrative services within the Manchester Community Care Group, establishing effective systems and processes to support service continuity across the Division.
  • Lead the Division on Information Governance, IM&T, data quality and performance monitoring.
  • Support the Senior Leadership Team and operational management across the Community Care Group.
  • Support all Divisional staff in maintaining IT structures and systems, enabling clinical teams to use clinical information systems efficiently.
  • Participate in major change initiatives that modernise systems, environments and services within Manchester Division and the wider Trust.
  • Support the Division with the Information Governance agenda, and deputise for the Operational Support and Performance Manager as required.
  • Provide leadership to the administration teams within the Division and intervene on initiatives across the wider Community Care Group.
  • Maintain a thorough understanding of patient pathways, workflows in mental health, the clinical information system, Trust performance requirements and their reporting.
  • Assist staff in recording clinical activity to a standard that provides evidence of care quality and meets reporting agendas.
  • Engage practitioners to embed delivery of all performance measures (e.g. CQUIN, SOF, Mental Health Currencies, KPI’s).
  • Support clinical improvement leads in timely intervention.
  • Engage managers to monitor operational reports and take remedial action to ensure delivery of performance measures.
  • Maintain up‑to‑date IT systems, structures and devices that support high‑quality care.
  • Manage services within agreed budgets.
  • Assist in revision and development of clinical information systems to support clinicians.
  • Directly support Information Governance requirements, including Information Asset Assistant duties and development of Information Sharing Agreements.
  • Represent the service in meetings and lead projects as appropriate to the role.
  • Deliver targeted training on CQUIN, Mental Health Currencies, and other targets for all professional groups, including induction training for junior doctors.
  • Deliver formal training sessions and one‑to‑one coaching on the Clinical Information System and related IT systems for new staff.
  • Prepare supporting documents such as How‑to guides and help‑sheets to embed recording into practice.
  • Work with managers to interpret, use and report performance data, identify improvement areas, and develop action plans.
  • Use reports to identify where staff may need additional assistance and collaborate with individuals and line managers to address knowledge and skill deficits.
  • Communicate standards and practices effectively to staff at all levels and maintain effective working relationships across the Division.
  • Represent the Division in forums to ensure information is shared and/or communicated to relevant personnel.
