Type dictation from audio transcription of clinical correspondence and documentation. Ensure appropriate follow‑up arrangements and investigations are in place. Liaise with the medical secretary of speciality and coordinate communications. Mentor, train and supervise relevant junior staff as required. Answer the telephone promptly and politely, telephoning patients where appropriate with tact, discretion and empathy. Accurately use patient information within the Patient Administration System (PAS) – including registration, checking details, and tracking case‑notes. Copy all letters and discharge summaries to the appropriate professionals and patients. Ensure efficient audit processes for correspondence to maintain quality levels and rectify issues as needed. Take minutes of meetings and circulate them to relevant groups. Attend required training, meetings and educational sessions. Work as part of a team, promoting effective flows in the department to cover leave and ensuring the office runs smoothly. Perform general office duties, including incoming and outgoing mail, e‑mail, and photocopying. Support other admin team members, working closely together to meet appropriate timescales for turnaround of workload in typing clinical letters from audio transcriptions, locating and handling reports, filing correspondence, and meeting the department’s administrative needs. Collaborate with clinical and non‑clinical colleagues to deliver the best patient experience possible.
